Excel vs Accounting Software: What Really Costs More
Excel costs nothing to start, which is exactly why so many Nepali businesses stay with it for years. The question is not the licence fee. It is how much staff time, error and audit effort the spreadsheet quietly consumes. Here is a fair comparison, with no invented savings figures, so you can work out your own numbers.
Where Excel and the diary work well
For a one-person business with a few dozen transactions a month, a simple sheet is fine. It is flexible, familiar and you can build it in an afternoon. If you have no VAT registration, no credit customers and no staff, you may not need anything more. Be honest about whether that still describes you.
Where spreadsheets start to fail
- No built-in double entry. Nothing forces debits to equal credits, so errors survive until someone checks.
- One file, one editor. Two people editing creates copies named final, final2 and latest.
- Silent damage. A dragged formula or a deleted row can change a total without any warning.
- No audit trail. You cannot tell who changed an entry or when.
- Weak party control. Matching a customer's bills to receipts is manual work.
- Year-end rework. Balances are copied forward by hand every Shrawan.
The hidden costs, listed
| Cost | How it shows up |
|---|---|
| Accountant hours | Re-entering the same bill in sales sheet, ledger and VAT sheet |
| Month-end rebuild | VAT and party figures assembled from scratch |
| Error hunting | Trial balance that does not agree, found days later |
| Audit time | Auditor reconstructs ledgers from loose sheets |
| Missed money | Unbilled work, forgotten dues, uncollected credit |
| Key-person risk | One employee understands the file |
None of these appear on a bill, which is why they are underestimated. A practical test: count the hours your accountant spends each month on copying and reconciling, and multiply by what that time costs you. That figure, not the software price, is what the switch should be measured against.
What drives accounting software cost
We do not publish a price list because the cost depends on a few things you can predict:
- Number of users entering and viewing data.
- Number of companies or branches kept separate.
- Modules beyond core accounts, such as stock, billing, payroll or bank reconciliation.
- Deployment: a local installation, an online version or both.
- Data migration from old files and how clean they are.
- Customisation of vouchers, reports and approvals.
- Training and support after go-live.
A quote after a demo lists each of these so you can see what you are paying for, and what you can leave out for now.
Do not forget the one-off effort
Switching takes real work. Someone has to prepare an opening trial balance, party balances and stock. Expect a short period of running both systems. Teams that plan this properly feel the benefit within a quarter. Teams that skip training sometimes revert to Excel and conclude the software failed, when the real failure was the handover.
A worked way to estimate your own saving
Use a simple example with made-up round numbers, clearly only an illustration. Suppose an accountant spends two hours a day copying bills between sheets, and one full day each month assembling VAT and party figures. Over a year that is several hundred hours of repeat work. If software removes even half of it, you either free that person for collection and analysis or you avoid hiring help as the business grows. Replace the example numbers with your own and the answer becomes specific to you.
Now add the cost of mistakes. One uncollected credit balance, one VAT credit lost for a defective bill, or one audit that runs extra days can each exceed a year of software fees. You cannot predict which will happen, but you can count how often they have happened in the past three years.
Risks of staying manual as you grow
A business that doubles in size usually does not double its accounting staff. It stretches the same person further. That is when mistakes rise, month-end slips and the owner stops trusting the numbers. Moving to software before that point is cheaper and calmer than moving after a crisis, when you are also cleaning up old errors during migration.
When the switch usually makes sense
- You are VAT registered and file monthly.
- You have more than a handful of credit parties.
- More than one person needs to enter data.
- Your audit takes longer each year.
- You are planning a second branch, a loan application or an investor conversation where clean books matter.
If two or more of these are true, the hidden costs above are almost certainly larger than you think.
A low-risk way to compare
Pick one past month. Ask the software vendor to enter that month's real transactions in a demo. Compare the time taken, the reports produced, and the number of mismatches found against your Excel version. You will have evidence rather than opinion.
