Agro-Vet and Cold Store Software vs Register: Cost Guide

Updated 14 Oct 2026 ยท 6 min read ยท WebsNP team

Registers are cheap to buy and expensive to keep. For an agro-vet shop or a cold store, the cost shows up as unrecovered dues, expired stock, disputes at withdrawal and the long evenings spent adding columns after a busy day. Software has its own costs. This guide helps you compare the two honestly, using your own season figures instead of general promises.

Where a register leaks money

Look at each part of a farm business in turn.

  • Credit dues: a sale on credit entered in a notebook may be missed when it is time to collect. Even a small percentage of unrecovered credit across a season is significant.
  • Expired stock: pesticide, medicine and seed that expire on the shelf are a direct loss. Without an expiry list, the oldest stock is rarely sold first.
  • Rent errors: hand-calculated cold store rent for partial releases is easy to get wrong in either direction. Undercharges are silent losses; overcharges are arguments.
  • Lost lots: a lot that cannot be found or is released twice is expensive.
  • Staff time: hours spent copying, adding and searching do not appear on any bill, but they are paid for.

What software changes

With billing and ledger together, every credit sale posts to the farmer's account at once. With batch and expiry recorded, an expiry list tells you what to push or return. With a lot register and a rent rule, the rent for any release is calculated the same way every time and printed on a statement. These do not require smarter staff, just regular entry.

The deeper benefit is visibility. Owners can ask: how much credit is outstanding, how old is it, which items are slow, which chamber is full, how much rent is due? Answers in minutes change how decisions get made.

What drives the price of software

The price is quoted after a demo, since it depends on your scope. The main drivers are:

  • Whether you need the shop module, the cold store module or both.
  • Number of users and branches or stores.
  • Custom rent rules, unusual units or special receipts.
  • Hardware you need, such as barcode scanner, receipt printer or scale connection, which depends on models.
  • Cloud hosting versus a local installation with backup.
  • Data import of farmers, items, lots and opening dues.
  • Training and support during your first season.
  • SMS or WhatsApp messaging, with gateway charges paid to the provider.

Ask for the one-time and the yearly parts separately so you can compare year by year.

A payback test using your own numbers

  1. Credit outstanding at season end. Write down the amount, and the amount you believe will never be recovered. Even a small improvement in recovery is worth counting.
  2. Expired or returned stock last year. Estimate the value written off.
  3. Rent differences. Pick ten past releases and recalculate rent with the written rule. Note the gap between your register and the correct figure.
  4. Staff hours. Estimate hours spent each week on adding, copying and searching for records in peak and off season.
  5. Disputes. Count how many took more than an hour to settle.

Total the potential saving conservatively. If it is a meaningful fraction of the yearly software cost, the purchase is probably justified. If not, wait, or start with a smaller module such as billing and credit only.

Be careful of overpromises

No software recovers credit by itself. It shows who owes and for how long; you or your staff still need to ask for the money. No software prevents spoilage; it tells you what is at risk. The value comes from using the information. If nobody will review the due list weekly, the benefit shrinks.

Seasonality and timing the switch

Do not start in the middle of your busiest weeks. Start before the season, when you have time to import farmers and items and to train the staff. For a cold store, start before intake. For an agro-vet shop, start before planting. Run the register in parallel for a few days and then drop it.

Questions to ask yourself first

Do I know how much credit is outstanding today? Can I find any lot or farmer in under a minute? Do I know what will expire in the next three months? Can I show a lender or partner one clean season report? If the answer to most is no, the register is already costing you, and the question is only which software and when to start. If the answer is mostly yes, you probably have a disciplined system and software should be judged on whether it saves your time rather than on whether it fixes errors.

Total cost of ownership

Include the computer, printer, power backup and internet in your estimate if you do not already have them. A modest computer and a stable connection are enough for many shops, but make sure the counter will not stop when the power goes. Consider the cost of a spare machine or a backup routine as part of the system.
