Agro-Vet Shop Stock, Batch and Expiry Checklist
An agro-vet shelf holds stock with very different lives. Seed loses vigour with time. Pesticides and veterinary items have printed expiry dates. Fertiliser can cake in damp air. A shop that sells the newest stock first and forgets the oldest ends up with a back shelf full of write-offs. This checklist gives a simple routine for receiving, storing and selling, and shows where software supports it.
When goods arrive
- Match the delivery to the supplier bill: item, quantity, batch number and price.
- Check the printed expiry or manufacturing date on every item type. Refuse or query items with very short remaining life.
- Look for damaged packs, leaking containers and broken seals.
- Check that labels are legible and in the language required for the product.
- Record the batch number and expiry date in the stock system on the same day.
- Store immediately in the correct place, not in the doorway.
Storage rules
- Keep pesticides and veterinary products separate from seed, feed and food items.
- Keep seed in a cool, dry and ventilated place, off the floor.
- Keep fertiliser bags off damp floors and away from leaks.
- Place old stock in front and new stock behind, and mark shelf positions.
- Follow the storage conditions printed on the pack or supplied by the manufacturer. For regulated products, follow the rules of the relevant authority; ask your supplier or the local agriculture or veterinary office if you are unsure.
Sell the earliest expiry first
This is often called FEFO, first expiry first out. It differs from first in first out because a newer batch may have a shorter life than an older one. At billing, the staff should take from the batch with the earliest expiry. Software can suggest the batch at the time of sale and record which one was sold, so your stock remains accurate by batch.
A monthly expiry review
- Print a list of items expiring within the next ninety days, or a window you choose.
- Move those items to the front and mark them clearly.
- Offer a promotion or bundle to farmers where it is suitable and lawful.
- Ask the supplier about return or exchange of near-expiry stock, and check the terms in your agreement.
- Remove expired items from the shelf and record them as a write-off with the reason.
- Never sell expired products. This protects your customers and your licence.
Dispose of expired items responsibly
Expired pesticides and veterinary products must not be dumped carelessly. Keep them separate, labelled and out of reach until you can arrange proper disposal or return through the supplier or the relevant office. Record what was disposed of and when.
Records worth keeping
| Record | Why |
|---|---|
| Purchase bill with batch and expiry | Trace any complaint to a batch and a supplier |
| Sales by batch | Recall support if a batch is withdrawn |
| Expiry write-off list | Know the loss and negotiate returns |
| Farmer credit ledger | Control dues and limits |
| Licence and registration papers | Keep valid and on file; renew in time |
Licence and registration rules for agro-vet shops depend on the product type and the current regulations. Confirm what applies to your shop with the relevant government office. The software only helps you keep the records tidy and to hand.
Common mistakes
- Recording stock by item only, so batch and expiry are unknown.
- Buying large quantities at a discount that you cannot sell before expiry.
- Selling by habit from the front-most pack regardless of date.
- Mixing returned items back into stock without checking the batch.
- Not checking seed germination information and storage after a wet season.
- Giving credit on slow-moving stock to farmers who will not use it.
- Forgetting to record free samples and company schemes, which then distort stock.
A simple physical count routine
Once a month, pick one category, for example pesticides, and count every item against the system. Write down differences, find causes and correct the record with a note. Rotate categories so the whole shop is covered every quarter. Count seed and feed after any heavy sale period. A count of fifteen minutes a week beats a stock-take of two days a year, because errors are found while the cause is still remembered.
Track also what leaves without a sale: samples given to farmers, goods used for demonstration plots, breakage and returns to the company. Each should be entered as an adjustment with a reason, otherwise stock differences have no explanation and the owner stops trusting the numbers.
Advice at the counter
Farmers often ask what to buy for a problem. The shop is a trusted source, but the advice should come from qualified sources and product labels, not guesswork. Where you are not sure, direct the farmer to the local agriculture or veterinary office. This protects both the farmer and your shop.
The WebsNP agro and cold storage software records batch and expiry at purchase, suggests the earliest batch at billing and prints an expiry list. For a pharmacy-style shop with similar needs, see pharmacy management software. Message us on WhatsApp for a demo with your own item list.
