Pharmacy Software for Batch, Expiry and VAT Billing in Nepal

Keep medicine stock by batch and expiry, bill quickly with VAT, track supplier dues and see what is about to expire before it becomes a loss.

A pharmacy counter runs on small decisions made quickly: which batch to pick, whether the strip is near expiry, what a customer owes from last week and how many boxes are left of a fast-moving item. A paper register or a basic billing app tracks quantity but not batch or expiry, so stock quietly ages on the shelf until it has to be written off.

WebsNP Pharmacy Management Software records every purchase by product, batch number, expiry date and rate, then sells from the earliest-expiring batch first. Billing is fast, with strip and box units, VAT where applicable and clear printouts. Reports show near-expiry items, low stock, supplier dues and daily sales.

This page and our articles are about stock, expiry and billing records only. The software does not give medical or dosage advice. Pricing is quoted after a demo, based on your counters, users and branches. See how the system fits a pharmacy or message us on WhatsApp.

Problems it solves

The problem todayHow the software fixes it
Medicines expire on the shelf because nobody checked dates.A near-expiry report lists batches by month so you can sell, return or discount them in time.
Billing picks any batch, leaving older stock behind. The system suggests the earliest-expiring batch first at the counter.
Strip and box prices are confused at the counter. Each product holds pack size and sale units so strips and boxes bill correctly.
Supplier payments are missed because bills sit in a drawer.Supplier ledgers show what is due, by bill and date.
Customer credit is recorded in a notebook and forgotten.Credit accounts show balances, receipts and a pending list for follow-up.
Stock-outs on fast movers lose sales.Reorder levels warn before an item runs out.

Built for how Nepal works

Drug licence and record rules

Pharmacies in Nepal operate under licensing and record requirements from the drug regulator. The software keeps batch-wise purchase and sale records; confirm what you must retain with the Department of Drug Administration.

VAT treatment by product

Billing supports 13% VAT and configurable treatment per item, since not every product category is treated the same way. Confirm the treatment of each category with the tax office or your accountant.

Strips, boxes and loose sales

Customers often buy a few strips, not a full pack. Pack size conversion keeps stock accurate when you break a box.

Distributor credit cycles

Most Nepali pharmacies buy on credit from company representatives and distributors. Supplier ledgers and due dates keep those cycles visible.

Nepali dates and power cuts

Bills show Bikram Sambat dates, and the counter can be configured to keep running through short power or internet breaks. Confirm the setup you need at the demo.

Frequently asked questions

Does the software track batch numbers and expiry dates?

Yes. Batch number and expiry are recorded at purchase and carried through stock and sale. The counter suggests the earliest-expiring batch first, and reports list items that will expire soon.

Can I sell loose strips from a box?

Yes. Each product has a pack size and sale units, so selling strips reduces the box stock proportionately. The system keeps counts consistent when a box is opened.

Does it support VAT billing?

Billing supports 13% VAT with Bikram Sambat dates and PAN details, and VAT treatment can be set per product category. Confirm the correct treatment for each item with the tax office or your accountant.

Can it give dosage or medical advice?

No. The software is for stock, expiry and billing records only. Any clinical decision belongs with a qualified pharmacist or doctor, not with a billing system.

How are expired items returned or written off?

You can record a return to the supplier or a write-off with a reason, and stock is reduced accordingly. This keeps your stock value and expiry reports honest.

Can I import my medicine list?

Usually yes. Product lists, opening stock with batch and expiry, supplier balances and customer balances can be imported from Excel after we check the file with you.

Does it work for wholesale as well as retail?

Yes. Wholesale mode supports carton quantities, customer-wise rates, credit limits and dues alongside the retail counter. The exact setup depends on how you trade.

What does it cost?

Price depends on users, branches and customisation, so we quote after a demo. Message WebsNP on WhatsApp at +977 9846280400 to arrange one.
