Online Booking Page Setup Checklist and Common Mistakes
Once you have booking software, the quality of the setup decides whether customers have a smooth experience. A messy setup produces slots that cannot be served, bookings that overlap and customers who give up halfway. This checklist walks through each setup decision and the mistakes we see most often.
1. List services in plain words
Customers should recognise the service name immediately. Use words they use, not internal jargon. "Haircut and wash" is clearer than a code. Avoid creating dozens of near-identical services. Start with the ten most requested and group the rest under "other, please call". For each service, record the duration, price if you display it, and who can perform it.
2. Be honest about durations
If a service usually takes fifty minutes, do not set it to thirty to fit more into the day. You will run late all day and your customers will notice. Add a buffer for cleaning, notes or travel between rooms. If duration varies by customer, choose the typical value and let staff extend it manually when needed.
3. Set staff hours and breaks
- Enter working hours for each person by day.
- Add lunch and prayer or rest breaks.
- Add planned leave and training days in advance.
- Decide whether customers may choose a specific person or accept the first free one.
An incorrectly set break creates a slot that customers book and staff cannot honour. Review each schedule with the person concerned.
4. Block holidays and closures
Add public holidays, festival days and any personal closures for the year. Dashain and Tihar need special attention because many staff travel for a week or more. Double check Saturdays, since they vary by business.
5. Decide booking rules
| Rule | Question to decide |
|---|---|
| Notice period | How soon before the slot can a customer book? |
| Advance window | How far into the future can they book? |
| Cancellation | Until when can they cancel freely? |
| Rescheduling | How many times can they change a booking? |
| Deposit | Which services need an advance? |
| Same-day bookings | Online, or by phone only? |
Write these in a short, friendly paragraph on the booking page. A clear policy prevents most arguments.
6. Write the messages
Prepare four messages: booking confirmation, reminder, cancellation confirmation and a polite note for a missed appointment. Keep each short. Include the business name, address, a landmark and a phone number. Check that Nepali text displays correctly on common phones.
7. Test as a customer
Before sharing the link, book a few appointments from your own phone on mobile data. Try a long service, a specific staff member, a day with leave and a cancellation. Ask a family member to try without your help. Note every point where they hesitate.
Common mistakes
Too many options on the first screen
Long menus of services and staff overwhelm people. Keep the first step simple and show detail only after they choose.
Forgetting phone bookings
If reception does not enter phone bookings into the system, double bookings are guaranteed. Make it a rule that nothing exists unless it is in the calendar.
Ignoring time gaps
Schedules full of one-hour gaps that fit nothing become wasted time. Look at the pattern of bookings and adjust slot lengths or start times.
Not sharing the link
The page works only if customers find it. Put it on your Facebook page, WhatsApp profile, website, receipts and a QR code at the entrance.
Never reviewing the data
After a month, look at the busiest hours, most booked services and no-show pattern. Adjust staffing and slots accordingly.
Walkthrough: a first week
A physiotherapy clinic sets up three services, two practitioners and weekday hours with a Saturday morning session. The owner blocks upcoming festival days and writes a short cancellation policy. On Sunday the link goes on the clinic\'s Facebook page and the WhatsApp profile. Reception adds phone bookings throughout the week. By Friday several patients have booked at night, reminders go out each evening and the owner notices that one practitioner\'s mornings are full while afternoons are empty. She shifts one service to afternoons for the next week. That small adjustment, driven by the calendar, is the sort of decision a diary would never have prompted.
