How to Choose Appointment Booking Software in Nepal
An appointment booking system should do three things well: stop double bookings, reduce no-shows and save reception time. Everything else is a bonus. Many products look polished in a demo but fail on details that matter in Nepal, such as phone bookings, split shifts and reminders that actually reach the customer. Use this checklist to compare options before you pay.
Match the system to how you work
Start by describing a normal day. How many people take bookings? How long does each service last? Do customers pick a person or just a time? Do some services need a room or a machine as well as a person? A dentist might need a chair and an assistant. A salon might need a stylist and a basin. A consultant may need only a time slot. The booking logic must understand your resources, not just a single calendar line.
Staff schedules and real availability
Check that each staff member can have their own hours, breaks, days off and leave. Doctors in Nepal often practise at several places with split shifts. A stylist may start later on Saturdays. If the calendar cannot represent this, customers will book slots that do not exist, and reception will spend the day correcting it.
Service durations and buffers
A haircut and a bridal makeup take very different lengths of time, and some treatments need cleaning or rest time before the next customer. Ask whether you can set a different duration and buffer for each service. Without this, the calendar looks full when it is not, or looks open when it is already overrun.
Phone and walk-in bookings
Online booking does not replace the phone for most Nepali businesses, at least not yet. Your reception will still take calls and messages. The system must make manual booking quick and put those bookings in the same calendar. If it forces you to keep a separate diary for phone customers, double bookings will return immediately.
Reminders that really work
Reminders are the main way booking software reduces no-shows. Ask:
- Which channels are supported: SMS, WhatsApp, email?
- Who pays for messages and how are they sent?
- Can reminders be timed, for example a day before and a few hours before?
- Can the customer confirm, reschedule or cancel from the message?
- Can messages be in Nepali?
Be careful with promises. WhatsApp business messaging needs access through an approved provider and has its own rules and charges. SMS needs a gateway account. A good vendor will explain these dependencies and not hide them.
Payments and deposits
If you want advance payment, ask what that means in practice. At minimum, the system should let staff record that a deposit was received. Online payment through a wallet or card gateway requires an account with that provider and technical connection. Do not assume every gateway is available. Ask for the exact options for your business.
Customer records and privacy
Booking systems collect names, phone numbers and sometimes notes about services or visits. Ask who can see what, whether staff roles are supported and how data is backed up. For clinics, the notes field should not be casually visible to every staff member. Your business is responsible for how it uses personal information, so choose a system with proper access control.
Language and ease of use
Customers should be able to book in under a minute on a mid-range phone with a modest connection. Test the booking page yourself on your own phone. Check that Nepali text displays correctly and that the buttons are large enough. Equally test the reception screen: if staff need more than a few clicks to add a booking, they will go back to paper.
Support and ownership
Ask who helps you set up the first schedules, who answers on WhatsApp when something breaks and what happens if you change your services. A vendor who builds around your business will adapt; one who sells a fixed package will leave you to cope.
Questions to ask every vendor
- Can you show my own services, durations and staff in the demo?
- How do phone bookings and online bookings share one calendar?
- Which reminder channels work and who pays for messages?
- Can I block festival days and staff leave in advance?
- What reports show no-shows and busy hours?
- Can I export my customer list if I leave?

A final test before you decide
Ask the vendor to book three awkward cases live: a long service that crosses a lunch break, a customer who wants a specific staff member who is on leave, and a booking that must be moved to another day. A well-designed system handles all three in a minute. If the demo becomes slow or vague, you have learned something important about daily use.
