How to Reduce Appointment No-Shows with Reminders
When a customer does not turn up, the hour you reserved for them is gone. For a doctor, dentist, stylist or consultant, that is lost income and an idle professional. No-shows cannot be removed completely, but a handful of simple habits reduce them noticeably. This guide sets them out, with and without software.
Why people miss appointments
Most are not rude. They forget, something comes up, transport is difficult, or they booked three places and chose one. Some assume nobody will mind because there was no cost. Each reason suggests a fix: remind the forgetful, make cancelling easy for those whose plans changed and attach a small commitment for people who book casually.
Step 1: Confirm at the time of booking
Send a confirmation immediately, with the service, person, date, time and address. Include a landmark, since directions in Nepali towns often rely on them. A customer who has the details in writing is less likely to forget or mistake the time. Include the Bikram Sambat date if your customers think in BS, alongside the AD date, to avoid confusion.
Step 2: Send reminders at the right moments
One reminder is good, two are better. A common pattern is:
- a day before, so the customer can plan their day and cancel if needed
- a few hours before, as a nudge on the day
Keep messages short and polite, in the language your customers use. For example: "Hello Sita, a reminder of your appointment tomorrow at 3 pm with Dr Sharma at ABC Clinic. Reply YES to confirm or call us to change." Message delivery depends on the SMS or WhatsApp service you connect, and charges come from your provider.
Step 3: Make cancelling easy
It sounds backwards, but easy cancellation reduces no-shows. If people have to phone and wait, they will not bother and will just stay home. Offer a link or reply option to cancel or reschedule. A cancelled slot can be resold; a no-show cannot. Set a clear rule, such as cancelling at least a few hours before, and mention it in the confirmation.
Step 4: Use a waiting list
Keep a list of customers who would like an earlier slot. When a cancellation occurs, offer the slot to the first person. This turns a lost hour into a booked one and teaches customers that cancelling early helps other people.
Step 5: Consider a deposit for high-value slots
For services where an empty slot is costly, such as bridal makeup or a long consultation, ask for an advance. It signals that the booking is serious. Explain clearly what happens to the advance if the customer cancels in time and if they do not turn up. Keep the policy fair and visible, and consider that some customers, such as regular patients, may need different treatment. Collection can be recorded in the booking system, and online payment can be set up if you hold an account with a payment provider.
Step 6: Track and talk to repeat offenders
Mark appointments as attended, cancelled or no-show. After a few months, you may notice that a small number of customers cause most of the missed slots. A friendly call, a deposit requirement for them or confirmation before every booking can solve that without punishing everyone.
Handling overbooking carefully
Some businesses overbook slightly to compensate for no-shows. Be cautious. If everyone arrives, customers wait and become unhappy. A safer approach is to use the waiting list and short-notice reminders, and to measure your actual no-show rate before deciding. Healthcare practices in particular should think about their duty to patients and not overbook in a way that compromises care.
Comparing methods
| Method | Effort | Effect |
|---|---|---|
| Confirmation at booking | Low | Fewer mistakes about time and place |
| Reminder the day before | Low once automated | Fewer forgotten visits and earlier cancellations |
| Reminder on the day | Low once automated | Catches last-minute forgetfulness |
| Easy online cancellation | Medium to set up | Slots released and resold |
| Waiting list | Medium | Cancelled slots refilled |
| Deposit | Medium | Stronger commitment for costly slots |
Measure your starting point
Before changing anything, count for two weeks how many booked appointments were missed. Divide by total bookings. This is your no-show rate. After introducing reminders, count again. Without a baseline you cannot tell whether the change worked, and we will not claim a specific reduction because results differ between businesses.
Be considerate
Do not send reminders at night or flood customers with marketing messages from the same number. Use the contact details only for the appointment, and offer a way to opt out. Respectful messages build trust and keep customers coming back.
Our appointment booking software schedules reminders, records attendance and shows no-show reports. Pair it with bulk SMS and WhatsApp software if you also send announcements. Message WhatsApp +977 9846280400 to see a reminder flow for your business.
