SMS and WhatsApp Campaign Mistakes: A Checklist
The same SMS and WhatsApp campaign mistakes show up again and again in Nepali businesses, from tiny shops to large institutions. They are easy to avoid if you check before you send. Use this list as a pre-flight routine and score yourself at the end.
List mistakes
- Using numbers with no consent. If the person would be surprised to hear from you, do not send.
- Not removing old opt-outs. Someone who said stop last year still means stop.
- Duplicates and wrong numbers. Clean them first, so people do not receive the same message twice and you do not pay for failures.
- One list for everyone. Parents, suppliers and customers need different messages.
Message mistakes
- No sender identity. Say who you are in the opening line.
- Vague or misleading wording. "Big offer, click now" feels like a scam. Be specific.
- Too many links or capital letters. They look like spam and may trigger filters.
- No stop line on marketing. Give people an easy exit.
- Ignoring length. A long Nepali SMS may split into many parts and cost more.
Timing and frequency mistakes
- Sending at night or on festival mornings. Pick reasonable hours.
- Too many messages. If opt-outs rise, you are sending too often.
- Sending everything at once. Spread large lists over time.
After the send
- Nobody answers replies. A reply is a warm customer. Assign someone.
- No report review. Check failures, replies and opt-outs after every campaign.
- Using a personal number. Use a business sender and keep a record of who has access.
Score yourself
| Mistakes found | Reading |
|---|---|
| 0 to 3 | Good habits. Software mostly adds speed and reports. |
| 4 to 8 | Some risk. Clean your list and add a stop line first. |
| 9 or more | Pause campaigns, rebuild your list with consent and restart small. |
A generic walkthrough
This is an example, not a real client. A tuition centre keeps a sheet of parent numbers collected at admission. Before the term fee date it cleans the sheet, removes duplicates and marks two parents who asked not to receive messages. It writes one template with the student name, the amount due and the last date in BS. It tests the text on two staff phones, sends in two batches in the morning and assigns a teacher to reply. By evening the report shows a handful of failed numbers, several replies and a few payments. The next week, only those with unpaid fees get a polite follow-up. Nobody is spammed, and the centre has a log if a parent says "I never got the message".
Habits worth keeping
- Keep one master list and one person responsible for it.
- Write templates once and reuse them.
- Keep a short log of each campaign: date, group, text and result.
- Review opt-outs monthly.
- Do not promise delivery times you cannot control; networks sometimes delay messages.
Fixing the three most common problems first
If the checklist shows many gaps, do not try to fix everything at once. Start with the three that create the most risk. First, rebuild your list so that every number has a reason to be there and a note about how you got it. Second, add a plain stop line and a habit of honouring requests the same day. Third, give one named person the job of reading replies. These three steps alone remove most of the complaints and wasted effort that small businesses experience.
What to do when a customer complains
Apologise briefly, remove the number from future campaigns and make a note. Do not explain at length and do not send a final message asking them to reconsider. If many complaints arrive after a single campaign, pause, review the list and the wording and talk to your sending provider before the next send. A pattern of complaints is a warning that accounts can be restricted.
Keep marketing separate from service
Customers accept a delivery update or payment receipt from you without objection. Mixing an advertisement into those messages blurs the line and makes people less willing to read the useful ones. Keep service messages clean and send promotions separately, to those who agreed to receive them.
