SMS vs WhatsApp vs Manual Messaging: Cost for Nepal
Should a small Nepali business message customers from a staff phone, buy SMS credits, use WhatsApp campaigns or use all three through software? There is no single answer, but there is a fair way to compare. This article explains the cost drivers of each option without inventing prices, so you can put your own numbers in.
Option 1: Manual messages from phones
This is the default. A staff member copies a text and sends it to contacts one by one or through broadcast lists. It costs little cash but plenty of time. It is also fragile: numbers sit on a personal phone, nobody records who was messaged and a departing employee takes the contacts with them. For fifty contacts it is fine. For five hundred it becomes a part-time job.
Option 2: SMS through a provider
SMS reaches almost anyone with a phone, with no app needed. Cost depends on the provider, the length of the message and the volume. Nepali script uses shorter parts than English, so one message may count as two or three. SMS is good for reminders, one-time codes and people who do not use WhatsApp. It is less rich than WhatsApp, with no pictures or easy replies.
Option 3: WhatsApp campaigns
Most customers read WhatsApp faster, can reply easily and can receive images and documents. The trade-offs are limits and risk. Depending on how it is sent, an account may be restricted for unsolicited or bursty messages. Ask any vendor exactly how they send, what the limits are and who owns the account. We do not claim an official partnership with WhatsApp.
What drives the cost
| Driver | Manual | SMS | |
|---|---|---|---|
| Staff time | High | Low once set up | Low once set up |
| Message charges | None or phone plan | Per message part, from the provider | Depends on the sending method |
| Account risk | Personal number blocked | Sender restricted | Number restricted |
| Reporting | None | Sent and failed | Depends on the method |
| Reply handling | On personal phone | Limited | Strong, if logged properly |
Software adds its own cost, which depends on users, volumes, channels and customisation. We give a written quote after the demo.
A way to compare with your own numbers
Take one regular message, such as a monthly fee reminder to a group. Count how many people receive it, how long a staff member spends sending and following up, and how many people respond with a payment. Then price SMS credits from your chosen provider for the same group. Add the software quote and divide by the number of months you expect to use it. If the reminder brings in even a modest share of late payments sooner, the cash-flow benefit may exceed the cost. Use this as an example exercise, not a promise.
Hidden costs to include
- Time spent handling bounced or wrong numbers.
- The cost of a blocked number, including lost conversation history.
- Staff turnover and the risk to your contact list.
- The cost of annoying customers who then leave.
When manual is enough
If you have a small, stable group and one person to manage it, a simple broadcast or a shared sheet may serve you for a long time. Software earns its place when volume, reporting needs or the number of staff grow.
A balanced approach
Many businesses end up using WhatsApp for customers who prefer it and SMS as a backup, with software to hold the list, templates and logs. That gives reach, speed and a record.
Questions to put to any provider
- Is the price per message part, per message or a monthly bundle?
- What happens to unused credits at the end of the period?
- What are the daily or hourly sending limits?
- Who owns the sender name or number, and can you take it with you?
- How are failed messages reported and are they charged?
- What support is available when delivery drops?
Write the answers beside each quote. The cheapest headline price is often the one with the least clear terms.
Do not forget the customer's side
Some customers prefer a phone call, some prefer SMS and some prefer WhatsApp. The most efficient channel on paper is not always the best one for the relationship. Ask a handful of regular customers how they would like to hear from you, and record the answer against each contact.
Your next step
Count the messages you send in a month and the hours they take. Then request a quote for the WebsNP bulk SMS and WhatsApp software on WhatsApp. If you also want a full customer history behind your messages, compare it with CRM software.
