How to Run an SMS and WhatsApp Campaign in Nepal
Running a good SMS or WhatsApp campaign takes less time to send than to prepare. The sending is one click. What decides whether customers respond or complain is who you chose, what you said and when you sent it. This guide follows the same sequence we use when we set up a messaging system for a client.
Step 1: Set one goal
Pick a single purpose: remind members of due fees, announce a festival sale, tell students about an exam date or confirm tomorrow's appointments. A message with one goal and one action is far easier to read than a long list of offers. Decide how you will measure success, for example how many people replied, paid or visited.
Step 2: Clean the list
Import your contacts and remove duplicates and numbers that are clearly wrong. Remove anyone who asked to stop. Check that each remaining person is a customer, member or student, or someone who agreed to hear from you. If you are unsure about a group, leave it out. A smaller clean list beats a large doubtful one.
Step 3: Choose the segment
Split by what matters for this message. A fee reminder goes to those with dues. A new stock message goes to customers who bought that category. A message about a branch goes to people near it. Sending the right message to a smaller group produces better results and fewer complaints.
Step 4: Write the template
- Say who you are in the first line.
- Use the person's name and the specific detail, such as the amount or date.
- Give one clear action and one way to reach you.
- Add a stop line to marketing messages, for example "Reply STOP to unsubscribe".
- Keep SMS short. Nepali script takes more space per part than English.
Here is a generic example for a reminder: "Namaste Sita, your gym membership ends on Magh 15. Renew at the desk or reply here. Thank you, FitZone." This is a made-up sample, not a client message.
Step 5: Preview and test
Send the message to two or three staff phones first. Check the name field, the length, the link and the stop line. Read it on a basic phone, because many recipients do not use the latest model.
Step 6: Choose the time
Avoid very early mornings, late nights, major festival mornings and school hours for parent messages. For large lists, send in batches rather than all at once. A steady send also protects your sender account from sudden spikes.
Step 7: Handle replies
Assign someone to answer replies for at least a day. Customers who reply expect an answer. Record notes against the contact. If someone says stop, mark them immediately.
Step 8: Read the report
| Measure | What it tells you | What to do |
|---|---|---|
| Failed numbers | Bad or inactive numbers | Correct or remove them |
| Replies | Interest or questions | Answer and log them |
| Opt-outs | Annoyance or poor targeting | Review frequency and segment |
| Actions taken | Real results such as payments or visits | Compare with your goal |
How often should you send?
There is no magic number. For reminders, send when the event requires it. For promotions, a small business with a loyal list can usually manage a few a month before customers begin to ignore or block it. Watch your opt-out count, and slow down if it rises.
Three campaign ideas that respect the customer
Not every campaign is a sale. Often the most welcome messages are useful ones. A pharmacy can tell regular customers when a chronic-use item is back in stock, though it should avoid health details in the text. A school can send exam routines and holiday notices. A shop can thank customers after a purchase and ask for feedback. A gym can remind members of a renewal date a few days ahead. These messages build the habit of opening your texts, which makes the occasional offer work better.
Write for the small screen
Most recipients read on a phone lock screen. Put the point in the first line, keep sentences short and avoid long links. If you must include a link, say what it leads to. Read the message aloud once; if it sounds like a stranger, rewrite it as though you were speaking to the customer across the counter.
Keep a campaign diary
After each campaign write down the date, the group, the text and the result in one line. After three months you will know which days, wording and groups work for your customers, and you will not be guessing from memory.
Your next step
Plan one campaign using the steps above and test it on staff phones. If you want templates, lists and reports in one place, see the WebsNP bulk SMS and WhatsApp software and message us on WhatsApp for a demo.
