Cake Order Management: Advances, Pickup and Checklist

Updated 14 Oct 2026 ยท 8 min read ยท WebsNP team

A custom cake order is a promise with a date on it. The customer expects the right flavour, size, message and design at the right time. Miss any one and the birthday or wedding is spoiled and your reputation with it. Most cake order problems are not baking problems; they are information problems. This checklist covers what to capture, how to handle advances and how to avoid the mistakes that cause the most trouble.

What to ask when the order is placed

Use the same list every time, whoever answers the phone or WhatsApp message. Write the answers in one place, either a form in your software or a printed order sheet.

  1. Customer name and a phone number that works on WhatsApp.
  2. Pickup or delivery date, and the exact time.
  3. Size or weight, and the number of people it needs to serve.
  4. Flavour, filling and any dietary needs such as eggless.
  5. Message to write on the cake, with spelling confirmed.
  6. Design: reference photo, colours, toppers and candles.
  7. Delivery address and contact if the cake is to be delivered.
  8. Price, advance and balance due.

The spelling of names and messages deserves special care. Nothing is more embarrassing than a misspelt name on a wedding cake. Ask the customer to type the message in a chat, and copy it from there.

Confirm in writing

After taking the order, send a confirmation message on WhatsApp summarising everything, including the price, advance paid and the balance. Ask the customer to reply with a confirmation. If a dispute arises later, you will have the exact details the customer accepted. Software can prepare this message from the order, which saves typing and prevents inconsistency between what is recorded and what is sent.

Advances: a clear policy

Custom cakes involve ingredients, decoration and labour that cannot easily be resold. Many bakeries therefore take an advance. Decide a simple policy and tell customers when they order: how much advance, when the balance is due, and what happens if they cancel or change the order. Put it in writing in the confirmation. Record the advance in the order, with the date, amount, method and who received it. When the cake is collected, deduct the advance from the bill so the books show a single sale.

Plan the production load

Cake orders compete for the same oven, decorators and time. Before accepting a new order, check the load for that day. A pickup list by date and time, shown to the baker the previous evening, avoids the situation where five wedding cakes are due at ten in the morning. Set a daily limit for complex designs and be honest with customers when a date is full. Turning down an order politely is better than failing one.

Festival and wedding seasons

Orders cluster around Dashain, Tihar, Valentine\'s Day, Christmas, New Year and the Nepali wedding season. Set cut-off dates for orders before these peaks, ask for larger advances for the busiest dates and begin the production calendar earlier. Staff holidays and festival closures should be recorded so no one promises a date you cannot meet.

Pickup and delivery

  • Send a reminder message the day before: time, address and balance due.
  • Have the cake boxed, labelled with the customer name and order number, and stored in the right place.
  • Check the message and design against the order sheet before the customer arrives.
  • For delivery, record who delivers, the departure time and a contact number. Use sturdy boxes and plan for road conditions.
  • Take a photo of the finished cake for your records and your portfolio, with the customer\'s permission where relevant.

VAT and invoicing

If your cakes are billed with VAT, the final invoice should show the full value and the advance paid, so the sale appears at the correct amount. Rules on how advances are treated for tax purposes can be technical, so ask your accountant how they should be shown. Software can store the receipts and the final invoice linked together, which makes your accountant\'s work easier.

Learn from every order

After the busy season, review the order book. Which flavours were most popular, which sizes sold most, which dates filled first, and how many orders were cancelled? Use the answers to design a short menu of popular cakes with fixed prices, which speeds up quoting and reduces mistakes. Keep the custom option for special requests, with a clear premium.

Our cafe and bakery software includes an order book with pickup list and advances, and works with counter billing in the same system. If you also want customers to view your menu on their phones, take a look at QR digital menu software. Message +977 9846280400 on WhatsApp to see the order book on screen.
