Cafe and Bakery Billing, Recipe Costing and Production Software

Bill at the counter, cost every recipe, plan daily bakes, take cake orders and track ingredients so you know what each item really earns.

A bakery looks simple from the street: trays of fresh bread, a glass counter, a few customers. Behind it sits a hard maths problem. Flour, butter, sugar and cream change price. Cakes are ordered days ahead and collected late. Yesterday's unsold bread is a loss. Cafe and bakery software brings the counter, the recipes and the store room into the same picture.

WebsNP configures billing for the counter, tracks your ingredients, and links recipes to what you sell, so you can see the cost of a slice of cake or a cup of coffee rather than guessing. Production planning tells the baker how much to make tomorrow, based on what sold today.

Whether you run a small neighbourhood bakery, a cafe with a pastry case or a bakery with several outlets, the system is set up for your menu. Ask for a demo on WhatsApp and we will show you with items like yours, then send a written quote.

Problems it solves

The problem todayHow the software fixes it

Baking too much and throwing unsold items away, or baking too little and missing sales.Production plans based on sales history and recorded wastage by item.
Cake orders written on paper, with dates and advances easily lost.Order book with pickup date, design notes, advance and balance, plus a reminder list.
Ingredient prices change and nobody updates the selling price.Purchase entries update ingredient cost, and costing reports show margins that have slipped.
Counter queues slow at breakfast and evening rush.Quick item buttons, barcode scanning for packed goods and fast bill printing.
Stock in the store room does not match the book.Stock-in, usage and wastage entries with a count-and-compare routine.

Bakery and cafe bills commonly involve 13% VAT where applicable. The system can be configured for your setup. Confirm current rules with the Inland Revenue Department or your accountant.

Ingredient price swings

Prices of flour, butter, cream, sugar and cooking gas shift through the year. Recipe costing shows when a favourite item has become unprofitable.

Frequently asked questions

Can I cost a cake with all its ingredients?

Yes. You enter ingredients and quantities per recipe, and the system uses current purchase prices to show cost per cake or per slice. When ingredient prices change, the cost updates and you can see margin differences.

Can I manage custom cake orders with advances?

Yes. An order book records size, flavour, design notes, pickup date and time, advance and balance. A list of upcoming pickups helps your team prepare, and you can send a confirmation message from the order details.

Can it help me decide how much to bake?

It shows past sales and wastage by item and day, which helps you plan production. It does not predict the future, but the history makes your decisions better than memory alone.

Does it work for a cafe with tables?

Yes. You can use counter billing, table service or both. Drink and food tickets can be sent to the barista or kitchen if you want them.

Can it handle VAT bills?

Yes, VAT can be configured on the bill. Because rates and rules can change, confirm the current requirements with the relevant authorities and tell us the settings to apply.

We have two outlets and a central kitchen. Is that possible?

Yes. Items can be issued from the central kitchen to each outlet, and sales, returns and wastage are tracked by outlet. Ask for a demo of this to see how it matches your flow.

What hardware do I need?

Usually a computer or tablet, a receipt printer and optionally a barcode scanner and label printer. We advise on what suits your counter during the demo.

How much does it cost?

Cost depends on the number of counters, features and setup work. We do not publish figures. Message us on WhatsApp for a demo and a written quote.
