Clinic Management Software in Nepal: A Buying Guide

Updated 14 Oct 2026 ยท 7 min read ยท WebsNP team

Good clinic software lets a receptionist register a patient in under a minute, lets a doctor see the last visit without asking, and lets the owner see the day's collection without adding slips. Many products promise much more. This guide helps you separate what matters from what is decoration when buying in Nepal.

Start with your size and speciality

A single-doctor general practice and a five-consultant polyclinic need different things. Write down:

  • How many doctors, and do they sit on fixed days?
  • How many patients on a normal day and a busy day?
  • Do you sell medicines, run tests or give injections that need billing?
  • Do you need specialty fields, such as growth charts for a paediatrician or an antenatal sheet for gynaecology?
  • How many computers and who uses them?

Your answers shape the quote and tell the vendor what to demonstrate. If you run a dental practice, look at software designed for dental clinics as the chart and treatment plan need are different.

Features that actually save time

Fast patient search

Ask the vendor to search by partial name, phone number and patient number while you watch. If this is slow or exact-match only, the front desk will struggle during rush hours.

Appointment calendar and walk-in queue

You need both. A calendar for booked visits, and a queue for people who just arrive. Check that a doctor can see who is waiting and who is next.

Visit history on one screen

The doctor should see previous complaints, notes, medicines and attached reports in a timeline. If the history needs five clicks, it will not be used.

Printed prescriptions with your header

Many doctors want templates for common prescriptions they edit rather than type each time. Ask whether you can save your own.

Billing that matches your fee list

Test a consultation, a follow-up at a reduced fee, a procedure and a part payment. Check that cancellations and refunds leave a trail instead of a silent delete.

Reminders

SMS or WhatsApp reminders reduce no-shows and bring back follow-up patients. Ask who pays for messages and how they are sent.

Questions to ask a vendor

  1. Can I export all my patient and billing data in a usable format if I leave?
  2. Does it run on a single computer, a local network or the internet, and what happens when power or internet fails?
  3. Can I limit what reception can see of clinical notes?
  4. Who provides support, in which language and how quickly?
  5. What is included in the quote and what is extra, such as training, import and custom print formats?
  6. How are updates delivered and are they included?

Common buying mistakes

  • Choosing by looks. A pretty dashboard is no use if registration takes six screens.
  • Buying a hospital system for a clinic. Heavy modules slow the desk and increase the price. Choose what fits.
  • Ignoring who will manage it. Name one staff member to handle users, templates and backups.
  • Not testing with real data. Ask the vendor to enter three of your actual patients and a typical bill during the demo.
  • Forgetting data protection. Patient notes are private, so check permissions and logs.

Think about growth

Many clinics start small and add a doctor, a lab corner or a second branch. Ask whether the product can add users, branches and modules without rebuilding. If you might outgrow it into inpatient care, ask how a move to hospital management software would work and whether your patient data would carry over.

Run a live test during the demo

A demo on the vendor's tidy sample data tells you little. Bring a short script of your own and ask them to follow it. Register a patient with a long Nepali name and a phone number only. Book an appointment for next Tuesday with Dr A, then move it to Wednesday. Bill a consultation, add an injection, give a discount with a reason and take half the payment now. Write a visit note, print the prescription and set a follow-up in seven days. Close the day and read the collection report. If any step is awkward, ask whether it is a setting or a limitation.

Watch the person who will use the system most, usually the receptionist, try it themselves. Their reaction in the first five minutes is a better predictor of success than any feature list. Also ask to see what happens when a mistake is made: how a wrong bill is corrected, how a duplicate patient is merged and how a deleted entry is recorded.

Check the vendor, not only the product

Software is a relationship. Ask how long the company has been building systems, whether they have worked with clinics before, and who you will speak to when something breaks on a busy Sunday morning. Ask for the names of the people who will configure and train, and whether support is by phone, WhatsApp or visit. Be wary of anyone who promises everything without asking about your clinic first.

Next step

List your doctors, fees and services, then ask for a demo with your own sample patients. WebsNP configures clinic management software for your practice and quotes in writing after the demo. Message +977 9846280400 on WhatsApp to arrange one.
