Clinic Management Software for Polyclinics and Doctors in Nepal
Appointments, patient records, prescriptions and billing in one simple system, built for polyclinics and private doctor clinics that see patients every day.
A clinic lives or dies on the first five minutes: finding the patient, knowing why they came last time and getting them in front of the doctor without a crowd forming. A paper register can do this when you see ten patients a day. At forty, the same register becomes a queue, a search and a guess.
WebsNP builds clinic management software that keeps appointments, patient histories, prescriptions and bills together. Reception books and registers, the doctor sees a clean history on screen, and the owner sees the day's collection when the clinic closes. It works for a single doctor, a polyclinic with several consultants or a clinic with a small lab and dispensary.
We configure fees, visit types, print formats and reminders to your clinic and train your staff. If you run a larger inpatient facility, look at hospital management software; for dentistry, see dental clinic software.
Who Clinic Management Software is for
Private doctor clinics
Single-doctor practices that want fast patient lookup, visit history and a printed prescription pad with the clinic name.
Polyclinics with several consultants
Clinics where different doctors sit on different days and the front desk must manage schedules, fees and shares.
Clinics with a small lab or dispensary
Practices that sell medicines or run simple tests and want those charges on the same bill.
Reception and billing staff
Teams that book, register, collect fees and answer the phone at the same time.
Clinic owners who are not always present
Owners who want daily collection, doctor-wise income and no-show counts on their phone.
Problems it solves
| The problem today | How the software fixes it |
|---|---|
| Patients arrive without booking and the waiting room overflows. | A booking calendar with time slots and reminders spreads arrivals, while a walk-in queue keeps urgent cases visible. |
| The doctor cannot recall what was prescribed last visit. | Each visit stores complaints, notes, prescriptions and attachments in a timeline the doctor can open in a click. |
| Handwritten prescriptions are hard to read and hard to re-issue. | Printed prescriptions with your header, with commonly used medicine and dose templates the doctor edits. |
| Follow-up patients are forgotten. | Set a follow-up date and send an SMS or WhatsApp reminder from the system. |
| Fees and shares between consultants are calculated manually. | Doctor-wise fee and share rules compute at day or month end from actual billing. |
| Owners cannot tell what was collected until closing. | A daily closing report shows cash, digital payments and dues by counter and by doctor. |

Fee and VAT handling
Bills are in Nepali rupees. Where VAT at 13% applies to an item you sell, it can be configured; confirm which services are exempt with your accountant or the Inland Revenue Department.
Phone-first patients
Patients prefer a call or WhatsApp to an app, so reminders and booking confirmations go as SMS or WhatsApp messages.

Prescription and receipt layouts can include Nepali and English headings, set by you.
Power cuts and slow internet
We can advise on local installation with backup so the desk is not stuck when the connection drops.

Is it suitable for a single-doctor clinic?
Yes. A solo doctor often starts with registration, visit notes, prescriptions and billing on one computer, then adds reminders or stock later. The quote depends on the modules and users you choose.
Can patients book online?
An online booking page can be added so patients choose a slot, and your staff confirm or adjust it. Many clinics still take bookings by phone, which the same calendar handles at reception.
Can the doctor type notes on a tablet?
The system runs in a web browser, so a laptop or tablet connected to your network or the internet can be used. Tell us your set-up and we will confirm what works best.
How do you protect patient information?
Staff get individual logins with permissions, changes are logged and we recommend regular backups. You decide who may view clinical notes. Policy and legal duties remain with the clinic.
Can we send reminders by WhatsApp?
Yes, reminder messages can be set up for appointments and follow-ups through a messaging service you subscribe to. Message costs are separate from the software.
Can we import old patient records?
If your list is in Excel or another file, we can import names, contacts and balances after checking. Handwritten files are usually entered gradually as patients return.
Does it produce reports for the authorities?
It can be configured to the reports your facility must submit, if you share the format. We do not claim a pre-approved template.
How much does it cost?
The price depends on doctors, users and modules. You receive a written quote after a demo; this page lists no fixed prices.
