Cyber Cafe Owner Checklist: 12 Mistakes That Cost Money
Cyber cafes rarely lose money in dramatic ways. They lose it in tiny leaks that happen every day: a free page here, a forgotten session there, a job that was never billed. Go through this cyber cafe checklist and mark which of the twelve mistakes you see in your own shop. Each has a simple fix.
Counter and billing
1. Not writing down small sales
A single page or a short session seems too small to bother with. Over a month, many of them add up. Fix: enter every sale, however small, at the moment it happens.
2. Having no posted rate card
If prices live in the staff's head, they change by customer and by mood. Fix: post a rate card and enter the same rates in the system.
3. Rounding time in one direction
If every session is rounded down, you slowly lose time-based income. Fix: write a simple rounding rule, such as a minimum charge and a block size, and apply it every time.
4. Mixing cash and QR
One total hides the problem when the drawer is short. Fix: record the mode of payment on each bill and check QR receipts against the app each evening.
Staff and cash
5. Sharing one login
You cannot tell who recorded or deleted a bill. Fix: give each staff member a login and review the activity log.
6. Looking at expected cash before counting
People adjust their count. Fix: count and declare first, then compare.
7. Taking cash from the drawer without a note
Small advances and tea expenses create a mystery shortage. Fix: write every withdrawal with a reason and a name.
Jobs and customers
8. Forgetting pending form jobs
Customers who come back to an empty answer do not return. Fix: keep a status list and review pending jobs every morning.
9. Keeping original documents without a receipt
Disputes about lost papers are serious. Fix: give a receipt on taking documents and take a signature on return.
10. Letting credit grow
Regulars ask for later payment and later becomes never. Fix: keep a customer account, set a limit and send a statement at fixed intervals.
Stock and equipment
11. Not matching pages to paper
Paper and toner are your largest costs, and without a match you cannot see waste. Fix: count paper packs used each week and compare with pages billed.
12. Ignoring backup and security
A failed disk or stolen computer takes years of records and customer files with it. Fix: copy your data daily to a safe place and clear customer files after each job.
Why a rate card review helps
Many cafes keep the same rates for years while paper, toner, rent and wages move. Review your rate card at the start of each Nepali fiscal year, in Shrawan, or whenever your costs change noticeably. Compare your rates with nearby shops, but do not copy them without checking your own costs. Announce changes with a notice on the wall and a short message to regular customers. A clear, fair and consistent price list reduces arguments at the counter and protects staff from making up prices on the spot.
Quick audit table
Quick audit table
| Area | Healthy sign |
|---|---|
| Sales | Every sale has an entry and a user |
| Rates | A posted card matches the system |
| Cash | Counts are declared before comparison |
| Jobs | Pending list is reviewed every morning |
| Credit | Totals are known and limits are enforced |
| Data | Backups exist and customer files are removed |
Do the cheapest fixes first
You can fix half of these today without spending anything: post the rate card, stop sharing logins, declare cash before comparing and review pending jobs. Next, address credit and stock. Finally, think about a system that makes the routine automatic.
Where software helps
Software records each sale with a user, applies your rate card, keeps job statuses, compares expected and declared cash, tracks consumables and produces daily reports. It does not replace supervision. A well-trained team and a simple system work better than either alone.
This week's steps
- Choose three mistakes to fix first
- Write down your rounding and credit rules
- Review yesterday's pending jobs tomorrow morning
- Count one week of paper against pages billed
