How to Choose Cyber Cafe Software in Nepal

A cyber cafe earns through volume: dozens of small sales, from a ten minute session to a printout or a form. The best cyber cafe software is therefore the one that records each small sale in a few seconds and still gives the owner a clear total at night. A tool that is slow at the counter will be skipped, and a skipped entry is a lost sale. Use the following points to compare what is on offer.

Decide what you really sell

Some cafes mostly rent computers by the hour. Others live on printing and photocopying. Many survive on form filling and document work. Write your own split in rough percentages, because it tells you what to test first. A shop that earns most from prints needs fast page-based billing and paper tracking. A shop that earns from hourly use needs reliable session timing. A shop that earns from forms needs a good job record with status and follow-up.

Test the counter speed

In the demo, ask the vendor to bill a customer who wants five colour pages, twenty photocopies and a scan. Count the taps. Then ask for a regular customer with a pending balance. If a simple sale takes a minute, the system will be abandoned during a rush. Speed matters more than a long list of rarely used features.

Check how computer time works

Ask exactly how a session is recorded. Do staff start and stop it manually? Is there a program on each customer computer? What happens if a customer leaves without paying, if a computer is restarted or if the power goes? Each approach has trade-offs. Manual recording is simple but needs discipline. A client program adds control but needs installation and maintenance. Choose the approach that suits your staff and computers, and ask for it to be explained honestly.

Look closely at service job records

Form-filling work is not like a retail sale. A customer may come back the next day with a missing document, or call to ask whether a form was submitted. Check that the system can store the customer, the service, the date, the fee and a status. Ask whether you can search by name or phone and whether you can add notes. Be wary of any vendor that claims to connect with government or exam portals. Your software should record your work, not pretend to act for an official system.

Staff control and cash

Because the sales are small, they are easy to hide. Look for separate staff logins, an activity log and a shift close that compares expected cash with declared cash. Ask what happens if a staff member deletes a bill and whether the owner can see it. These controls pay for themselves in cafes with more than one person at the counter.

Stock and consumables

Paper, toner and ink are major costs. A simple stock feature lets you record purchases and see use. Ask whether it can link pages billed to paper consumed. It will not be exact, but a large gap is a useful warning.

Ask about growth and add-on services

Cafes change. You may add a recharge counter, sell stationery, offer passport photos or train people in basic computer skills. Ask whether the system can add new services and stock items without a new purchase, and whether a second counter or branch can be added later. A vendor that explains how you grow is usually one who plans to support you. Ask also how updates are delivered and whether your rate card and reports stay safe when the software is updated.

Finally, ask how support works in practice. Who answers when the counter computer will not start at nine in the morning? Is help available by WhatsApp or phone, and in what hours? For a shop that earns by the hour, a day without the billing system is a day of lost records.

VAT and bills

If your business is VAT registered, ask how bills are configured for 13% VAT. If you are not registered, confirm with the IRD or your accountant what you should be issuing. Do not rely on a vendor for tax advice.

Privacy of customer documents

Customers hand you identity papers, photos and personal details. Ask how the software limits who can see them and how data is protected. Delete files you no longer need from computers, and tell staff clearly that customer documents are never to be copied or shared.
