Dental Recall Reminders by WhatsApp and SMS in Nepal

Updated 14 Oct 2026 ยท 7 min read ยท WebsNP team

Most dental clinics have patients who should have come back but did not. A recall system turns that into a short list you can contact each week. It does not need to be fancy: a due date on every record, a list that filters by date and a polite message. Here is how to set it up in a Nepali context, using SMS and WhatsApp.

Three kinds of reminders

TypePurposeTiming (example)
Appointment reminderReduce no-shows for a booked slotDay before, and a few hours before
Treatment follow-upBring back patients with an open planA few days after a missed sitting
Routine recallInvite patients for a regular check-upInterval your dentist recommends

The intervals are for your dentist to decide. The software simply uses the date you set.

Capture the right data at the front desk

Recall only works if the record has a working phone number. At registration, ask for the patient's own mobile and, where relevant, a guardian's number. Note preferred language and whether WhatsApp is used. Mark number types so you do not message a landline. A weekly check for patients without a phone number is worth ten minutes.

Set the recall date at the end of every visit

Before the patient leaves the chair, the dentist or assistant sets the next due date: next sitting date if already booked, or a recall month if not. A habit of recording this at checkout matters more than any software feature. Without it, the recall list will be empty.

Write messages that people respond to

Short, polite and specific works best. Include the clinic name, a date or timeframe and a way to respond. Keep clinical details out. Examples:

  • Appointment: "Namaste, this is [Clinic]. A reminder of your appointment on [date BS/AD] at [time]. To change it, please call [number]."
  • Follow-up: "Namaste, this is [Clinic]. Your next sitting is due. Please call [number] to book a convenient time."
  • Routine: "Namaste, it is time for your regular check-up at [Clinic]. Reply or call [number] to book."

Choose Nepali or English according to your patients. Many clinics send both.

Choose between SMS and WhatsApp

SMS reaches any mobile but has a per-message cost and a character limit. WhatsApp allows richer messages and images but depends on the patient having it and on the service you use to send. Business messaging through WhatsApp involves rules from the platform and a provider, so ask for the current terms and costs. Some clinics send reminders from the staff phone manually using lists exported from software. That is workable at small volumes but is time consuming. For campaigns at larger volume see bulk SMS and WhatsApp software.

Timing in the Nepali week and calendar

Consider local rhythms. Saturday is the weekly holiday for most people, and clinics that open then often fill early. Festival periods such as Dashain and Tihar reduce attendance, and many patients travel. Send your recall messages before the holiday season starts and plan extra slots after it. Quote dates in both BS and AD so there is no confusion.

Weekly routine

  1. Monday: open the recall list for the coming two weeks and review it.
  2. Send messages in batches, not all at once, so the front desk can manage replies.
  3. Call patients with open treatment plans who did not respond.
  4. Record the outcome: booked, call later, declined or wrong number.
  5. Friday: send tomorrow's and next week's appointment reminders.

Win back patients who have been away for a long time

Besides ongoing recalls, most clinics have a long list of patients who have not visited for a year or more. A one-off campaign can be worthwhile, but treat it carefully. Filter by last visit date and exclude patients with a note asking not to be contacted. Send a short, friendly message in small batches, and have someone ready to answer replies. Do not mention treatment details or prices in the first message. A line such as "We have not seen you for a while and would be happy to help with a check-up" is enough.

Track results separately from routine recalls so you can see if the effort is worth repeating. Some numbers will be wrong or disconnected, which is also a useful clean-up of your database.

Respect patient choice

Some patients do not want messages. Add a note on their record and honour it. Do not message from your personal number in a way that could expose the patient's information. Keep content neutral, because a message may be read by a family member.

Measure it

Track a few numbers each month: reminders sent, appointments booked afterwards, no-shows and open plans completed. After three months you will know whether your wording and timing work. Try changing one thing at a time, such as sending a second reminder.

How software helps

Dental software with recall lists keeps the due date on the patient record, filters by date, shows balances alongside and logs what was sent. It also prevents the same patient receiving duplicates. For a general practice the same ideas are covered in our clinic software pages.

Next step

Pick a day this week and make a manual list of patients with open plans or a missed sitting. Contact five of them. If this feels worthwhile, ask WebsNP to show how recalls work in our dental clinic software. WhatsApp +977 9846280400 to book a demo.
