Event Software vs Diary and Excel: Cost and Risk Compared
Many party palaces in Nepal run on a bound diary and a calculator. It works for years, until the day two families arrive for the same hall or a balance of an old event is forgotten. The cost of a diary is not in what you spend; it is in what you cannot see. This article compares the diary, Excel and event software, and lists the cost drivers without inventing figures for your business.
What a diary does well
A diary is quick, private and needs no power or login. For a small venue with a few bookings a month, it can be enough. The weaknesses appear when several people take bookings, when quotations and payments multiply and when you want to know your position without reading every page.
Where Excel starts to hurt
A spreadsheet can list dates and amounts, but it does not stop a clash, it does not remember that a hold expired and it relies on someone updating formulas. Files get copied and the wrong version is used. It is also awkward to hold vendors, guest counts and payments for fifty events at once without errors.
Risks side by side
| Risk | Diary | Excel | Event software |
|---|---|---|---|
| Double booking | Depends on who wrote last | Not prevented | Warning on clash |
| Expired holds | Forgotten | Manual | Automatic release |
| Balance forgotten | Common | Possible | Pending list and reminders |
| Vendor paid twice | Possible | Possible | Payment status per event |
| Staff access control | None | Weak | Roles and activity log |
| Profit per event | Hard | Manual | Built-in report |
Measuring your own cost of the current method
Review the last season and ask:
- How many near misses or actual double bookings happened?
- How many days did a hold block a date before it was cleared?
- How much of the balance was collected late or not at all?
- How many times were vendors paid late, twice or wrongly?
- How many hours did the accountant need to reconstruct events at the year end?
As an example only, losing one booking in a peak month through a clash or a forgotten hold can cost more than the software for a long time. Your own answers will differ, which is why we do not print numbers here.
What sets the price of software
A quote depends on the number of halls, users and branches, whether you need inventory and vendor modules, the reminders you want and the effort of importing future bookings. Ask whether the price is one time or recurring, what support is included and whether messaging costs are separate. Ask also about the cost of adding a hall or a user. WebsNP shares a written quote after the demo.
When a diary is still enough
If you take a handful of bookings a month and one person handles all of them, you may not need software yet. Move when you add a second hall, a second person taking calls or when you start to lose track of balances and vendors.
How to decide
Use the questions above for your last season. If the near misses and late balances look expensive, ask for a demo of the event and wedding management software using your real dates. Venues with a restaurant can also look at restaurant POS software for kitchen and bar billing.
A worked example, with clearly made-up numbers
Imagine a hall that takes a few dozen bookings in the busy season. If even one booking in the season is lost because a hold was never cleared or two staff promised the same date, the lost income is usually larger than the effort of entering bookings in a system. If a handful of balances take weeks to collect because nobody was reminded, the cost is delay and awkward calls. These are illustrations, not predictions, so replace them with the actual events from your own diary.
Questions to compare vendor quotes
Ask each vendor whether the quote covers import of future bookings, training, reminders and support through the first season. Ask what is charged for extra halls or users and what happens if you wish to leave. A fair comparison puts all of these in one table, and the cheapest first number is often not the cheapest over two seasons.
Next step: count last season's clashes, late balances and vendor errors and send the numbers to us on WhatsApp. We will help you see whether software is worth it for your venue.
