Event and Wedding Management Software ยท Guide
How to Choose Wedding and Event Software in Nepal
The right event management software keeps one record per event and one calendar per hall. If a product only has a diary view, you are buying a prettier notebook. A party palace or wedding planner in Nepal needs the calendar, the quotation, the vendors and the money to talk to each other. Here is how to check that before you commit.
Start with how your business takes a booking
Write down the steps from the first phone call to the final bill. A family calls to ask about a date. You hold it for a few days. You send a quotation. They pay an advance. They change the guest count twice. You pay the caterer and the decorator. The event happens. You settle the balance. Each step needs a place in the software. If a demo skips the hold stage or the guest count changes, the product does not fit a business like yours.
Features that decide daily use
- Hall and session calendar. BS and AD dates, hold and confirmed statuses, and a warning on clashes.
- Quotation templates. Per-plate menus, hall charges and extras that convert into a booking.
- Advance and balance tracking. Instalments, due dates and a pending list.
- Vendor records. Agreed amounts, advances paid and balances due per event.
- Linked events. A family's mehendi, wedding and reception under one client.
- Reminders. For dues, final guest count and the date itself.
Questions to put to every vendor
| Question | What you want to hear |
|---|---|
| Show me a hold that expires on its own. | The vendor demonstrates a hold with an expiry date and automatic release. |
| How are guest count changes recorded? | A history of changes, with the final count driving the invoice. |
| How do I see vendor payables? | A report across all upcoming events. |
| Can I print or share a quotation in my format? | Yes, with your logo, terms and payment details. |
| Who owns my data and can I export it? | You do, and Excel export is available at any time. |
Test with a real peak-season weekend
Ask the vendor to set up one busy weekend from your diary: three halls or sessions, two holds and one confirmed wedding with an advance. See how quickly you can find which dates are free, what each family owes and what each vendor must be paid. If it takes many clicks or the vendor needs to adjust the demo, imagine the same on a busy phone call.
Mistakes buyers make
One mistake is buying a general booking tool with no concept of a guest count or a vendor. Another is paying for features a small venue never uses, such as complex seating plans. A third is ignoring the move from the diary. If you have forty future bookings, ask who will enter them and how long it takes. Be careful as well with any promise of guaranteed bookings or a marketplace of customers. Software organises your business; it does not supply clients.
Think about who uses it
The person at the booking desk, the accountant and the owner use different parts. The desk needs a fast calendar. The accountant needs advances, invoices and VAT-ready records. The owner needs to see upcoming events and money. Ask for logins with different permissions so staff see only what they need.
Where WebsNP fits
We configure the event and wedding management software around your halls, packages and vendors, import your current bookings and train your team. Prices are shared as a written quote after the demo. If you also want to follow up leads from social media or phone calls, our CRM software pairs well with it.
Check the reports before you buy
Owners usually need five views: upcoming events by date, pending balances by family, vendor payables, monthly income and profit per event. Ask to see each with sample data. A report that exists only in the brochure is useless on a busy Friday. Also ask whether data can be exported to Excel so your accountant can work with it without retyping.
Plan for peak season
Your system will be used hardest in the weeks when bookings, changes and payments arrive together. Ask how it behaves with many users at once, what happens if the internet is slow and whether the vendor offers quick help during the season. Agree on support hours before you sign, not after the first busy weekend.
Next step: send us your hall names, sessions and two sample packages on WhatsApp. We will prepare a demo that uses your own dates and rates.
