Event and Wedding Management Software for Nepali Planners and Party Palaces
Manage hall bookings, quotations, vendors, guest counts and advance and balance payments in one place, and remind clients on WhatsApp before dates and dues.
A wedding in Nepal is rarely a single booking. A party palace holds a date for the reception, the tika ceremony may be on another day, the caterer wants an advance, the decorator needs the stage plan and the family changes the guest count three times. Event and wedding management software keeps the date, the quotation, the vendors and the money for each event in one record, so nothing lives only in a notebook or someone's memory.
WebsNP sets up the system around your business, whether you own a party palace, plan weddings or run corporate events. You get a booking calendar that prevents double booking, quotations that turn into confirmed bookings, vendor lists with agreed amounts, advance and balance tracking in NPR and reminders for the date and the dues. Bills can show 13% VAT where you are registered.
If your venue also has rooms, look at hotel management software. For catering and bar billing, see restaurant POS software. Message us on WhatsApp for an event demo.

Decorators, caterers and photographers

Problems it solves
| The problem today | How the software fixes it |
|---|---|
| Two families are promised the same hall on the same auspicious date | The calendar shows held and confirmed dates by hall and session, and warns before a clash is saved. |
| Quotations are rewritten from scratch each time | Quotation templates with packages, per-plate rates and extras turn into a booking in one step. |
| Advances and balances are scattered across notebooks and chats | Every payment is posted against the event, with the pending balance and due date always visible. |
| Guest numbers change and the catering bill gets argued over | The guest count is recorded with dates of change, and the final count drives the invoice. |
| Vendors are paid late or twice because nobody tracks what was agreed | Each event lists its vendors with agreed amounts, advances paid and balances due. |
| The owner cannot see which events made money after all costs | Income and vendor costs per event give a profit view after the date has passed. |

Built for how Nepal works
Auspicious dates and the BS calendar
Weddings follow sait dates in Bikram Sambat. The calendar shows BS and AD together and lets you mark busy auspicious days, so you can see demand before you accept a booking.
Wedding season peaks
Dates cluster in a few months, and a booking for a peak day is often made far ahead. Holds with an expiry date stop a tentative request from blocking a firm one for weeks.
NPR, advances and cheque or QR payments
Clients pay in cash, cheque, bank transfer or QR. The mode is recorded with every receipt, and advances are matched against the final invoice.
VAT where registered
Invoices can be set up with 13% VAT where your business is registered. Whether specific services are taxable is a question for the IRD or your accountant.
Multi-day and multi-ritual events
A single family may book mehendi, sangeet, bratabandha, wedding and reception across several days. One client record can hold all linked events.

Can the software prevent double booking of a hall?
Yes. Each hall and session is shown on a calendar with held and confirmed statuses. If you try to confirm a clashing date, the system warns you before the booking is saved, and holds can be set to expire automatically.
Can I send quotations on WhatsApp?
Quotations are prepared from your package and rate templates and can be shared as a file or message. Delivery depends on the WhatsApp or SMS sender you set up with us, and we explain the options in the demo.
How are advances and final balances tracked?
Every payment is posted against the event with date, amount and mode. The event screen shows total, paid and pending amounts, and a due date can trigger a reminder to the client.
Can I track what I owe to caterers and decorators?
Yes. Each event can list vendors with agreed amounts, advances paid and balances due. A payables report shows what is pending across all upcoming events so nothing is paid late or twice.
Does it work for wedding planners without a venue?
Yes. A planner can use the system for client records, quotations, vendor coordination, checklists and payments without any hall calendar. The venue features are optional.
Can I handle multi-day weddings?
Yes. Several events can be linked to one family, such as mehendi, sangeet and reception on different days, each with its own date, guest count and billing, while payments can be viewed together.
Can I move my existing bookings in?
We import upcoming bookings, client details and advances from an Excel sheet. Diary entries can be typed in during set-up, with the effort depending on how many future events you have.
How is the price decided?
The price depends on halls, users and optional modules such as inventory or reminders, and is shared as a written quote after the demo. We do not publish a fixed price because every business is set up differently.
