Result Day Checklist and Common Marksheet Mistakes
Result day exposes every loose end in a school: a misspelt name, a missing subject, a grade that does not match the marks. A short checklist run in the week before can catch most problems. Below is a list you can adapt, followed by the mistakes that cause the most complaints.
Two weeks before
- Confirm the grading scale and pass rules with the current official guidance for your level.
- Check the subject list for every class, including optional subjects.
- Confirm the student list: new admissions, transfers and withdrawals.
- Announce marks entry deadlines to all teachers.
One week before
- Lock marks entry and run a missing marks report.
- Verify totals, grades and GPA on a sample of students per class.
- Check names, roll numbers and dates of birth against admission records.
- Prepare a draft marksheet for the principal to review.
Day before
- Print and check proofs for one student per section.
- Print all marksheets and sort them by class and roll number.
- Arrange a help desk with a teacher and the coordinator.
- Prepare a form for correction requests.
- Make sure the printer has paper, ink and a spare.
On the day
- Hand out marksheets with a signature or checklist record.
- Log every correction request with the student, issue and the person who will resolve it.
- Keep the class teacher available for questions on remarks.
- Do not change any result at the counter without the coordinator\'s approval.
Mistake 1: name and date of birth mismatches
Spellings of Nepali names transliterated into English vary: Sharma, Sarma; Shrestha, Shreshta. If the admission form says one thing and the marksheet another, the student may face problems later with other documents. Use the spelling from the official birth or identity record, store it once and print it everywhere. The same applies to dates of birth in BS and AD; confirm the conversion once and reuse it.
Mistake 2: zero for absent
Entering zero for absent students distorts averages and sometimes affects pass or fail results. Use a distinct absent code and follow your written rule. Check absent entries individually before locking.
Mistake 3: boundary errors in grades
A student with a mark exactly on a band boundary may receive the wrong grade if the formula uses greater-than instead of greater-than-or-equal. Test boundary values for every band before the first real result. Check rounding as well.
Mistake 4: late changes to the structure
Changing maximum marks, weightage or pass rules after entry begins makes earlier entries invalid. If you must change, announce it, recalculate everything and recheck the sample. A rule change should always be signed off by the principal.
Mistake 5: unrecorded corrections
When a teacher tells the coordinator a mark is wrong and it is fixed in conversation, nobody can later show what happened. Record every correction with the old value, new value, reason and approver. A change log in software does this for you.
Mistake 6: sharing results informally
Forwarding class result sheets in group chats exposes every student\'s marks to everyone. Share individual results privately, or invite parents to collect marksheets. Decide your policy and apply it consistently.
Mistake 7: no archive
Parents return years later asking for a copy. Store final results in an archive in a durable format, and back it up. A year-wise ledger saves hours of searching.
After the day: a short review
Within a week, meet to discuss what went wrong and what went right. Count the correction requests and sort them by cause. If most come from name or date errors, fix the source data. If they come from late marks, change the deadline process. Small reviews make each result day smoother than the last.
