Terminal Exam Marks Entry and Results in Nepali Schools
Many Nepali schools run several assessments through the year: unit tests, first and second terminals, a final or third terminal, plus practical or internal work. The final result is built from these parts. If the combination rules are not clear, every result day brings arguments. This article explains how to organise terminal marks, using terms and practice familiar in Nepal while leaving the official rules to the relevant board.
Know who sets the rules
Grading scales, pass marks, evaluation weightage and curriculum details are set by the relevant national or provincial bodies and, for some levels, by the school within their guidance. They change over time. Always take the current rule from the official source for your level. Software and spreadsheets only apply the rule you give them, so a wrong rule gives wrong results with confidence.
Build an annual exam calendar in BS
Parents and teachers think in Bikram Sambat months, so publish your exam calendar that way, with the AD date alongside if you need it. List unit tests, terminal exams, practical days, result publication dates and parent meetings. Share the calendar at the start of the session and again before each exam. A single clear calendar prevents many calls to the school office.
Decide how each assessment counts
Write down the weight of every assessment toward the final result. For example, you might count unit tests as internal marks, the first and second terminals as a share and the final as the largest part, with a different arrangement for practical subjects. These weights are examples of the kind of table you need; use your own. Put them on one page and distribute it to teachers and, where useful, to parents.
Theory, practical and internal marks
- Record each component separately; never merge them at entry.
- Set a separate maximum and pass mark for each.
- Decide who is responsible for practical marks and by when.
- Keep evidence for internal marks, such as assignment records, in case of questions.
Software combines components using your rules. A spreadsheet can do the same, but each formula must be checked.
Absent, withheld and special cases
Define codes for absent, medically excused, withheld and exempt, and decide how each affects the result. Do not use zero for absent unless that is your rule, because zero is a mark. Record the reason and the date. Cases such as a student who missed the second terminal for a valid reason need a documented decision, ideally signed by the principal, so the treatment is consistent.
Marks entry discipline
- Announce the entry deadline when the exam is held.
- Let each subject teacher enter their own marks.
- Run a check for missing marks the day after the deadline.
- Lock entry and review as a group.
- Publish only after the principal approves.
Publishing results and parent communication
On result day, parents want clarity, not surprise. Publish the date in advance, prepare marksheets beforehand and have the class teacher available to explain. Where you use SMS or WhatsApp, send a short notice that results are ready and when they can be collected. Avoid sending detailed marks over chat unless you are sure of privacy. If a result is disputed, give a clear route: parent applies in writing, the teacher rechecks the answer sheet and the coordinator confirms.
Keep a ledger and transcripts
A year-wise ledger records each student's marks and grades for every exam. Keep it in a safe, durable format. When a student leaves or needs a transcript for admission elsewhere, you can compile it quickly from the ledger. Take care to issue transcripts only according to your school's policy and the relevant rules.
External board results
When students sit national board examinations, the results issued by the board are authoritative. Your school software can store those results for reference, but it should not issue anything that suggests it replaces the board's own record. Keep the distinction clear on every printout.
