How to Choose Garage and Workshop Software in Nepal

The right garage software is the one your front desk and mechanics will actually use during a busy Saturday morning. It should open a job card in under a minute, issue parts without arguments, produce a clean bill and remind customers about the next service. Everything else is secondary. This guide explains how to evaluate options for a Nepali workshop, from a small bike service centre to a multi-bay car garage.

Start by listing where money leaks

Before looking at any software, walk the workshop and write down where money or time is lost. Common leaks include spare parts fitted but not billed, labour forgotten on small jobs, credit that is never collected, customers who do not return and vehicles that sit for days waiting for a decision. The software you choose should address your top three leaks directly. A feature that does not touch your leaks is a nice-to-have, not a reason to pay.

The job card is the heart

Everything in a workshop hangs on the job card. Check that it captures number plate, owner and phone, model, odometer, customer complaint, inspection notes, estimate, approval, parts used, labour, mechanic, status and promised delivery. Check that a returning vehicle is found by typing a few characters of the plate. Check that you can see all open jobs on one screen with colour or status, so the supervisor knows what is stuck.

  • Vehicle lookup by plate, phone or customer name
  • Estimate and approval recorded on the job
  • Extra work added with a timestamp and reason
  • Status steps: waiting, inspection, awaiting parts, in progress, ready, delivered
  • Photos or notes about existing damage on arrival

Spare parts and stock control

If you stock parts, the software must connect parts to jobs. Test it: receive a purchase bill with five parts, issue two of them to a job card and see stock fall and the bill include them. Ask about parts with the same name from different brands, since a bike garage may hold several versions of one part. Ask whether you can set reorder levels, record part returns to suppliers and see parts margin per job.

Billing and VAT

Ask to see a real invoice with parts, labour, discount and VAT. If your business is VAT registered, confirm that the invoice layout and numbering suit your needs, and check this with your accountant. Ask how credit sales, partial payments and advances are shown. A garage often takes an advance for a large repair, and the final bill should show it clearly.

Reminders and customer history

Service reminders are the easiest way to increase repeat business. Ask how the system decides who is due: by date, by kilometre or both. Ask how the message is sent and what it contains. A good reminder names the vehicle and says when the last service was done. Delivery is through an SMS gateway or WhatsApp number you configure, and your customers should be able to opt out.

Questions to ask the vendor

QuestionWhy it matters
Can mechanics see only their jobs?Prevents price and stock views by everyone
What happens if the internet drops?Workshops cannot stop mid-job
Can I export my data?Your customer history belongs to you
Who supports us after setup?Quick help matters on busy days
Can reports be customised?Your margin and mechanic reports may differ

Think about the people on the floor

Mechanics are skilled but not always comfortable typing. A good workshop system lets the front desk or a supervisor do the entry while mechanics simply report what they used and did. Ask whether a job card can be printed, signed and attached to the vehicle, so the mechanic has the instructions in hand. Ask whether parts requests can be raised quickly without a long form.

Consider also the difference between a quiet Tuesday and a festival-week Saturday. The software should stay fast when ten vehicles arrive in an hour. Ask the vendor to simulate that load or at least to explain how many users can work together without slowing down.

Ask about multiple branches too. Even if you have one workshop today, an owner who plans a second location should check that stock, customers and reports can be separated or combined by branch later.

Mistakes to avoid

Do not buy a system built for showrooms and expect it to handle job cards. Do not skip testing with real staff. Do not leave stock entry for later; start with an opening stock count, even if rough, so issues are tracked from day one. And do not expect software to change habits by itself; decide who opens job cards, who issues parts and who closes bills.

Next step

Bring three recent jobs to a demo: one simple service, one with extra work and one credit customer. See how WebsNP garage and workshop software handles each. Message +977 9846280400 on WhatsApp to arrange it. If you also run vehicles of your own, fleet management software may help too.
