Service Reminders for Bike and Car Customers by SMS or WhatsApp

Updated 14 Oct 2026 ยท 6 min read ยท WebsNP team

Customers rarely leave a garage because of a bad repair; most simply forget when the next service was due, then visit whichever workshop is nearest when a problem appears. A well-timed reminder keeps your name in front of them. For a Nepali garage, where most customers use mobile phones all day, a short SMS or WhatsApp message is the cheapest way to increase repeat business.

What triggers a reminder

There are three useful triggers. The first is the date: the vehicle was serviced on a certain day and the next service is due after a number of months. The second is the kilometre reading: the vehicle should return after a number of kilometres from the last service. The third is a special event: a pollution test or insurance renewal coming up, or the start of the monsoon when brakes and tyres deserve a check. Use the interval recommended in the vehicle's manual or your own experience, and let the customer know it is a suggestion.

Estimating the next service

Date-based reminders are easy. Kilometre-based reminders need an estimate of how far the customer rides. If a bike was serviced at one reading and the previous service was several months earlier, the system can estimate daily use and predict when the next kilometre target will be reached. Always treat it as an estimate and word the message accordingly, for example "your bike may be due for service".

Write short, useful messages

A good reminder is short, polite and contains four things: customer name, vehicle number, the reason and how to book. Avoid long promotions. Offer a way to reply, such as a WhatsApp number, and keep your opening hours visible.

  • Namaste Ram ji, your bike Ba 12 Pa 3456 was last serviced on 2082 Ashwin 10. It may be due for service now. Reply here to book a time. Thank you.
  • Your car's service interval is near. Bring it any day this week and we will give you an estimated time at the counter.

The sample plate number above is an example only. Include your garage name and phone number at the end so the customer knows who is writing.

Timing and frequency

Send the first reminder a little before the due date, so the customer can plan. Send a gentle second one if there is no response, and then stop. Repeated messages feel like spam and lead to complaints. Avoid sending late at night or on major festival days when people are busy with family. Many garages find that messages arriving in the late morning get the best replies, but test with your own customers.

Language and tone

Most customers respond best to a polite message in Nepali or simple English, written the way you would speak at the counter. Use "ji" and the customer's name. Avoid technical words such as "preventive maintenance"; say "regular service" instead. If you serve foreign residents or tourists, keep an English version ready. A friendly reminder that sounds like a person is far more effective than a stiff notice that sounds like a bank.

It also helps to vary the reason. Instead of repeating the same text each time, mention something specific, such as the kilometre reading from the last visit or a seasonal tip about brakes before the rains.

Respect customers and the platform rules

Only message customers who gave you their number for service purposes, and honour requests to stop. SMS and WhatsApp business messaging have their own rules and provider terms, which you should follow. WebsNP configures sending through the gateway or WhatsApp number you choose, and we do not promise delivery on any specific network. Ask your provider about sender names and limits.

Mix reminders with real service

A reminder is only as good as the experience that follows. If a customer comes in because of your message and waits an hour with no explanation, they will not respond next time. Prepare for the days after a reminder round: give a time slot, keep a mechanic free and tell the front desk to expect more visitors. Some garages offer a quick check-up at no charge for returning customers; if you do, say so clearly and keep your promise.

Track what works

Record how many reminders you sent and how many customers returned within two weeks. If the return rate is low, check the wording, timing and phone number quality. Many reminders fail because phone numbers on old registers are wrong. Clean your list at the counter by confirming the number each time a vehicle arrives. Over a few months, your reminder list becomes one of your most valuable assets.

Next step

Start by listing every customer you served in the last six months with phone number, vehicle and service date. Even a simple list lets you send the first round of reminders. WebsNP garage software builds this list automatically from job cards and can send reminders through your configured channel. Message +977 9846280400 on WhatsApp for a demo.
