HR Software vs Excel for a Small Company in Nepal
For ten staff, an Excel sheet and a folder of scans is a reasonable HR system. For fifty, it begins to fail in specific, predictable ways. This article compares Excel with HR software on the things that actually cost a small Nepali company money and time, and explains the cost drivers so you can judge a quote fairly. We do not quote prices here, since they depend on your size and needs.
What Excel does well
Excel is flexible, familiar and cheap to start. You can build an employee list in an hour. It needs no training, no installation and no vendor. For a small team with simple needs and one careful person in charge, it is genuinely good enough, and it is a mistake to buy software just because it exists.
Where Excel starts to hurt
- No alerts. A sheet will never tell you that a probation ends next week. Someone must look.
- No approval flow. Leave requests arrive by phone or chat, and the sheet is updated later, if at all.
- No access control. Anyone with the file sees everyone's salary, citizenship numbers and warnings.
- No history. A cell can be overwritten and there is no record of what it said before.
- Documents are separate. The sheet says a contract exists; the scan is in a folder, possibly with another name.
- Dependence on one person. When the HR clerk leaves, the logic of the file leaves too.
What HR software changes
HR software replaces the sheet with a database that has rules. Reminders are automatic, leave has a request and approval path, roles limit who sees what, and every change leaves a trace. Documents live inside the employee profile. Letters are generated from templates. Reports such as headcount, turnover and leave taken are produced from data you already entered.
Cost drivers in a quote
| Driver | How it affects the price |
|---|---|
| Number of employees | Larger teams need more capacity and support |
| Modules | Leave only, or leave plus appraisal, assets, letters, onboarding |
| Hosting | Your own server or an online system with backups |
| Customisation | Your forms, workflows and letter formats |
| Integration | Payroll, attendance, accounting |
| Training and migration | Importing old data and teaching users |
| Support and updates | Yearly maintenance terms |
Ask every vendor to quote against the same list so that you compare like with like. A low figure that excludes migration and training may be the most expensive in the end.
Measuring the cost of staying on Excel
Count the hours HR spends on tasks the software would automate: preparing leave statements, chasing approvals, searching documents, writing letters, building reports for the director. Count the cost of a missed date, such as a probation that ended without a decision, or a licence that lapsed. Count the hours spent answering the same staff question about leave balance. These are your own numbers, so you can judge honestly, and the exercise often shows that the real cost sits in a few recurring chores.
A middle path
If you are not ready for software, tighten the spreadsheet first. Give every employee a unique code. Put one sheet per topic, not one giant sheet. Add a column for each date and a formula that flags dates within thirty days. Protect the file with a password and keep daily backups. Write the policy for leave on one page. This preparation also makes any later migration much easier, because clean data imports cleanly.
When to switch
Consider moving when you pass roughly twenty to thirty employees, when you open a second branch, when disputes over leave or documents have occurred more than once, or when the owner wants regular reports and nobody can produce them quickly. Another trigger is audit or investor attention: organised records suddenly matter.
Do not forget connected systems
Employees do not live in HR alone. Their attendance affects salary, and their leave affects the attendance sheet. If you will end up buying all three, choose a vendor who can connect them from the start, so each fact is entered once.
What migration looks like
Moving from Excel is less dramatic than it sounds. The work is to clean the list, agree on employee codes, define departments and designations, load leave balances as of a start date and upload the most important documents first. A good vendor imports your sheet, shows you the result and fixes mapping mistakes with you. Plan a short period in which HR checks the system against the old file, then retire the spreadsheet. Keep a read-only copy for reference.
Questions to ask your team first
Who touches the HR file today, and who would use the software? How many managers need approval access? Do you need Nepali labels on letters? Will the owner want a dashboard on a phone? The answers decide how many users, which modules and what training you need, and therefore what the vendor should quote.
