HRMS in Nepal: What to Look for Before You Buy
An HRMS worth buying in Nepal keeps accurate employee records, handles leave under your own policy, reminds you of dates that matter and lets managers act without calling HR. Everything else is decoration. Vendors will show you forty features, but a company of fifty staff will use six of them every week. This guide helps you separate those six from the rest.
Start with the problem, not the feature list
Before any demo, write down the three things that hurt most today. For most Nepali HR teams the list looks similar: documents cannot be found, leave balances are disputed, and contract or probation dates are missed. If a system solves those three well, it is already worth the effort. If it has beautiful dashboards but a clumsy leave screen, it will be abandoned within a quarter.
The features that matter
Employee profile and document storage
Every employee should have one profile that holds personal details, bank and PAN, emergency contact and uploaded documents. Check that you can attach several files per category, tag expiry dates and search by name or employee code. Ask how large scanned files are stored and backed up.
Leave that follows your policy
This is where many imported tools fail. Your leave rules may include home leave, sick leave, mourning leave, substitute leave for working on a public holiday and carry-forward limits. Ask the vendor to configure your actual policy in the demo, not a sample. Also check that Nepali public holidays can be loaded for each year, since they move with the lunar calendar.
Reminders
The most underrated feature is a simple list: probation ending in 30 days, contracts ending this month, licences expiring, birthdays tomorrow. It turns HR from reactive to organised.
Approvals and roles
Managers should see their own team only. HR sees everyone. The director sees summary reports. Salary and disciplinary records need tighter access. Check that roles are configurable, not fixed.
Reports you will actually print
Headcount by department, leave taken, contracts due, staff list with join date and designation. If a report cannot be exported to Excel or PDF, it will be rebuilt by hand.
Features that are usually a distraction
- Complex performance scoring models your managers will not fill in
- Social-network style staff feeds
- Recruitment portals when you hire a handful of people a year
- Dozens of reports nobody has asked for
These may be useful later. Do not pay for them now.
Vendor questions
| Question | Why it matters |
|---|---|
| Can you configure my leave policy during the demo? | Shows whether the system is flexible or fixed |
| Does it support Bikram Sambat dates? | All your letters and records use them |
| Who can see salary and disciplinary files? | Confidentiality is a trust issue |
| How do I export all data if I stop using it? | Avoids lock-in |
| Where is data hosted and backed up? | Staff files are sensitive and must not be lost |
| What support do I get in Nepali time? | Problems happen on salary day |
Integration with payroll and attendance
An HRMS is most useful when it is the single source of employee data. A new joiner entered in HR should appear in payroll and in attendance without being typed again. Ask whether the vendor offers these modules and how they share data. If you buy separate tools, find out how employees are matched, usually through a unique employee code.
Who will own it internally?
Software does not run itself. Choose one person in HR as the system owner, someone who will keep it updated and train others. Without an owner, the first six months are enthusiastic and the second six are neglected. Also decide at the start which records are mandatory for every new employee so that profiles are complete from day one.
Mistakes to avoid
Do not buy because a competitor did. Do not import every old document on day one; start with active employees and add the rest over time. Do not leave managers out of training. And do not accept a system that cannot print your appointment letter in your format, because people judge HR by its letters.
Run a fair demo
Give every vendor the same test. Ask them to create an employee with a Nepali join date, upload a citizenship scan, set a probation end date, submit a leave request for a day that falls near Dashain, approve it as a manager and then show the resulting balance and the team calendar. Finally ask for a printed appointment letter. This takes thirty minutes and tells you more than any brochure. Note how many clicks each step needs and whether a non-technical HR clerk could repeat it without help.
Check the data before you check the design
Ask what fields exist on the employee profile and whether you can add your own, such as blood group, professional council registration number or driving licence. Ask how duplicates are prevented, for example two staff with the same name. Ask whether history is preserved when a designation changes, so you can see that someone was an officer last year and a manager now. Good history is what makes reports meaningful later.
Security and backups
Staff files are among the most sensitive data a company holds. Ask where the system runs, who can reach the database, how often backups are taken and how a backup is restored. A vendor should be able to explain this plainly. Also ask what happens during a long power cut: an office server needs a UPS and a tested restore routine, while an online system needs a decent internet link and a fallback plan for printing important letters.
Next step
Write your leave policy on one page and list the three problems you want solved. Send them to us and we will build a demo around your own rules. Read more about the system on the HR management software page, and ask for a quote after the demo.
