Library Management Software ยท Guide
How to Choose Library Management Software in Nepal
The best library software is the one your librarian can use on the busiest afternoon without help. Many systems promise advanced cataloguing standards but are slow at the counter, or are built for a language and a calendar that do not match yours. If you are choosing software for a school, college or community library in Nepal, test the daily tasks first and the fancy features last.
Know your collection and your members
Before you speak to any vendor, collect basic facts. How many books do you have, and how many are added each year? Which languages are they in? Are there periodicals, theses, maps or non-book items? How many members do you have, and what categories: students, teachers, staff, outsiders? How many issues happen on a busy day? How many people will use the system at once? A school library with five hundred books and one librarian needs a lighter system than a campus library with fifteen thousand books and three counters.
Test the counter first
Ask the vendor to show a complete issue and return in front of you.
- Find the member by name, card number or class
- Find the book by accession number, barcode or title
- Issue it, with the due date set automatically
- Return it and see a fine calculated for a late book
- Renew a book and refuse an issue when the member has reached the limit
Count the clicks. A good counter screen lets an experienced librarian issue a book in a few seconds. Try it with a book that has a long Nepali title, and with a member whose name has several words.
Check the catalogue fields and search
A useful catalogue records accession number, title, author, publisher, year, edition, subject or class number, language, price, source and shelf location. Ask whether you can add your own fields and whether you can search by part of a title or by subject. Ask whether the vendor supports a classification scheme your library already uses, such as Dewey. If you do not use one, a simple subject list is fine; do not let a vendor push complexity you will not maintain.
Nepali language and dates
Check that Nepali titles and authors can be entered, saved and searched without broken characters, and that reports print them correctly. Check that issue and due dates can be shown in Bikram Sambat. Many librarians keep separate registers in each language, and a system should let you search across both.
Fines, fees and policies
Ask how loan periods and fines are set. You should be able to choose different rules for students, teachers and outsiders, add grace days, set a maximum fine, and record waivers with a reason. Ask how lost books are handled, such as charging the price or a replacement. Make sure receipts are produced for any money collected. If you have a membership fee for community use, ask how renewals and expiry work.
Hardware and barcodes
Barcodes speed up counters, but they need a scanner, a label printer and time to label the collection. Ask what the realistic hardware list is for your size, and whether the software also works without barcodes. A small library may do better with a good catalogue first and barcodes later. Ask whether labels can be printed on ordinary sticker paper.
Data, backup and power
A library catalogue is a record built over years. Ask where it is stored, how often it is backed up and how you can export everything in a common format. Ask what happens during load-shedding and whether a local installation is possible. Ask who can see and edit records, and whether the system logs who deleted a book.
Support
| Question | Good sign |
|---|---|
| Who trains the librarian? | The vendor, at your library |
| Help for catalogue import? | Yes, with a clear format |
| How is support offered? | Phone or WhatsApp with response times |
| What if I leave? | Full export of catalogue and members |
Next step
Prepare a sample sheet of twenty books and ten members, and ask each vendor to load them and run an issue and return in the demo. You can see how WebsNP does it on our library management software page. School libraries may also want our school management software so members are already in the system. Message us on WhatsApp for a demo and written quote.
