Library Software vs Paper Register: Is It Worth It?
For a library with a few hundred books and a handful of borrowers, a paper register is often enough. For a library with thousands of books and daily borrowing, it becomes a source of lost time and lost books. This article helps you decide where your library stands, without inventing figures. You will need only a few numbers from your own records.
What a paper register does well
It is simple, cheap and works without electricity. A careful librarian can keep an accession register and an issue register in good order for years. It is also easy to train a new person on it. For a small collection with limited use, you may not need anything else.
Where paper starts to cost you
- Searching: finding whether a title is available means flipping pages or walking the shelves
- Overdue tracking: checking which books are late requires reading the whole issue register
- Fines: calculation and waivers are done by hand and can differ from case to case
- Statistics: questions such as which subjects are borrowed most take hours to answer
- Stock taking: checking every book against the register takes days
- Continuity: when the librarian changes, the new person must learn a personal system
Count your own numbers
Pick a typical month and note these figures: the number of issues and returns, the time per issue at the counter, the number of times a member asked for a book that could not be found, the number of books overdue by more than a month, and the number of books found missing in the last stock taking. These are all facts you can find in your own library. Together they show whether the register is coping.
The value of books you do not lose
Every library has a replacement cost for lost books, even if the books were donated. If your last stock taking found a significant number of missing books, estimate their replacement value, remembering that donated and out-of-print books may be difficult to replace at any price. A system that records every issue against a member, and sends reminders for overdue items, usually reduces losses because people know they are being tracked. We do not promise a particular reduction; observe your own numbers over a year.
What shapes a library software quote
| Factor | Effect |
|---|---|
| Collection size | Data entry and import work |
| Number of members | Member records and cards |
| Counters and users | Logins and training |
| Barcode and hardware | Scanner, label printer and labels are separate costs |
| Modules | Basic issue and return, or fines, periodicals, acquisition and SMS |
| Link to school or college system | Shares the student list, which reduces entry work |
| Hosting | Local or online installation |
| Training and support | On-site help and response time |
We provide a written quote after a demo and explain what is included. Ask any vendor whether the price is one-time or recurring and whether you can export your catalogue if you leave.
The biggest cost: data entry
The real effort in moving to software is entering the catalogue. If your register is already typed into a spreadsheet, it can often be imported quickly. If it exists only on paper, someone must type it, and for a large library this takes weeks. Plan for it: use students under supervision, a data entry helper or phased entry starting with the most borrowed books. Do not let the perfect be the enemy of the good; a library can start issuing from software when the active collection is entered and add the rest over time.
A decision guide
- Under a few hundred books and few borrowers: a well kept register is fine
- Growing collection and daily issue: software saves counter time and improves follow-up
- Multiple counters or branches: software is close to essential
- College or large school: link the library to the student system to avoid double entry
Do not forget the human side
Software works only if the librarian and assistants use it for every transaction. Involve them in the choice, train them properly and keep the paper register for a short overlap period. A system is also a chance to rewrite your rules, so use the move to agree the loan period and fines with your management.
Next step
Do the one-month count and the stock taking estimate, then ask for a quote. You can read what is included on our library management software page. Institutes with a small resource room can also compare training institute software. Message WebsNP on WhatsApp with your book and member counts.
