How to Choose Loan Management Software in Nepal

Good loan management software should answer three questions instantly: who owes me what today, who is late, and what security do I hold? Everything else is decoration. If you lend to individuals or businesses in Nepal and are comparing systems, use the points below to separate the useful from the merely impressive.

Start with your own loan products

Before talking to any vendor, write down how you actually lend. What is the smallest and largest loan? Is interest charged monthly or yearly? Flat or on the reducing balance? Are instalments monthly, weekly or irregular? Is there a processing fee, and is it deducted at disbursement? What happens when a payment is late? Your answers form the specification. A system that cannot reproduce your loan exactly will force you to change your business to fit its screens, which is the wrong way round.

The schedule engine

The heart of the software is its schedule. Ask the vendor to enter one of your real loans and show the instalment table. Compare it with your own calculation. Check how it handles an uneven first period, a payment holiday, a part-prepayment and a change of interest rate during the loan. Check that dates are in Bikram Sambat and fall on sensible days. A schedule that is slightly wrong creates arguments you will lose.

Payment allocation

When a borrower pays less than the instalment, where does the money go? Most lenders apply it first to penalty, then to interest, then to principal, but yours may differ. The software should let you set the order and show the split on the receipt. Allocation rules are a frequent source of complaint, so test them with a partial payment and an advance payment in the demo.

Collateral and guarantors

If you hold security, the software must treat it as a first-class record. For land, you want owner, plot details, valuation, date and the location of the original papers. For vehicles, the registration and bluebook details. For gold, weight, purity and storage. Guarantors should be linked profiles, not typed names, so you can see exposure per person. When the loan closes, there should be a release record with date and signature.

Overdue tracking and follow-up

The recovery screen is where software earns its keep. Look for a list of overdue loans with days late, amount due and the last contact. Look for a follow-up log where staff record calls and promises. Ask whether the list can be filtered by area, officer or product. The faster you can start a conversation with a late borrower, the better your chances of a quiet, friendly recovery.

Controls and roles

Decide who can disburse, who can waive a penalty and who can edit a posted payment. A good system keeps those rights separate and logs every change. This protects you from honest mistakes and from dishonest staff alike. Ask for a demonstration of a correction: the right answer is a reversing entry with a note, not a silent overwrite.

Reports you will actually use

  • Outstanding principal and interest by product, branch or period.
  • Collection against expected collection.
  • Ageing of overdue loans in bands.
  • Top borrowers and concentration of risk.
  • Interest income earned in a BS date range.
  • Borrower statements and loan closure certificates.

Practical points on data and support

You should own your data and be able to export it to Excel at any time. Ask about backups, hosting and what happens if you stop paying support. Ask how you will reach the vendor when something goes wrong at month end. Support in Nepali through WhatsApp or phone is worth far more than a ticket system in another time zone.

Legal and regulatory points

Lending in Nepal is subject to laws and, for some institutions, to supervision by a regulator. The right software helps you keep complete records, but it is not a legal opinion. Confirm your obligations about licensing, documentation and interest with the relevant authority or a lawyer. Be careful with any vendor who promises that their system is automatically compliant with everything.

Think about growth and reporting to others

You may lend alone today, but a partner, an accountant or a bank may ask for figures tomorrow. Check that the system can export to Excel, can print a borrower list with balances for a given BS date and can produce interest income for the fiscal year. If you plan to open a second office, ask how users and cash are separated by branch. Ask also how the vendor handles changes: when your lending rules change next year, is it a configuration job taking an afternoon, or a programming job taking weeks?
