Loan Software vs Notebook or Excel: Cost and Risk Compared
Many successful lenders in Nepal still run on a notebook, a calculator and a good memory. It works because the lender knows every borrower personally. It stops working the day the loan book is larger than one person's memory, or the day the lender is ill, or a borrower claims a different balance. Here is how to compare the notebook, Excel and dedicated software fairly.
What the notebook does well
A notebook is private, immediate and costs almost nothing. For a handful of loans to people you know well, it is adequate. It is also how many lenders understand their business, because writing each entry forces attention. If your loan book is small and stable, there is no need to rush.
Where the notebook fails
- Interest and balances are recalculated by hand each time, and errors creep in.
- Nobody else can read it, so absence means chaos.
- Overdue loans are noticed only when you happen to flip to the page.
- There is no proof of change if a borrower disputes an entry.
- Collateral and guarantor details live in separate files or in memory.
- Getting an overall picture of outstanding, interest earned and risk takes hours.
Excel: the middle step
Excel improves on the notebook with formulas, sorting and filters. Many lenders build a sheet with borrower, amount, rate and date and a second sheet for payments. The weaknesses are known: formulas overwritten by accident, several copies of the file, no log of changes, BS dates stored as text and a heavy reliance on whoever built the sheet. A well-built workbook can last for years, but each added loan product or branch makes it more fragile.
Side-by-side comparison
| Area | Notebook | Excel | Loan software |
|---|---|---|---|
| Schedule creation | By hand | Formulas, copied | Generated from product rules |
| Overdue alert | Memory | Manual filter | Daily list with days late |
| Dispute handling | Weak | Medium | Statement and audit log |
| Collateral records | Separate | Extra sheet | Linked to each loan |
| Multiple staff | Not possible | Risky | Roles and shared data |
| Upfront cost | Almost none | Low | Quoted after demo |
The cost of a missed recovery
The real comparison is not between the price of software and the price of a notebook. It is between the price of software and the cost of the errors the notebook allows. Think about the last time a loan went overdue for longer than you intended, or a borrower disputed a balance, or you could not find a document. Put an honest rupee value on that experience. If it happens once a year and costs you a meaningful amount, software has a clear business case. If it never happens, your notebook is serving you well.
What drives the price of software
We avoid publishing a fixed price because two lenders can need very different things. The main drivers are:
- How many users and branches need access.
- How many loan products and rules must be configured.
- Whether you need extras such as SMS reminders, a borrower portal or accounting export.
- Whether you host on your own computer or online.
- The effort to import your existing loan data.
- Training, support and update arrangements.
Ask for a quote that lists each of these, so you can see what you are paying for and what is optional.
Hidden benefits that are hard to price
Software gives you a view of your whole book. You can see which products earn the most, which areas have the most arrears and how long your average recovery takes. You can plan lending with data rather than feeling. If you ever seek bank finance or bring in a partner, clean records make your business easier to trust and to value.
An illustration of the borrower dispute
Imagine a borrower who says he paid a large instalment in Poush, while the notebook shows no such entry. Without a receipt copy or a dated log, the conversation becomes a contest of memory, and the lender often concedes to protect the relationship. With numbered receipts and a statement, the lender can show the exact payments and dates in seconds, and the borrower can check them calmly. Fewer disputes mean fewer concessions, and one avoided dispute can pay for a lot of administration.
Succession and continuity
Many lending businesses depend on one person. Records that live only in that person's notebook are a risk to the family and the business. A shared system with backups lets a trusted colleague step in if the owner is unavailable. For a family business, that continuity is among the strongest reasons to move.
Making the switch safely
Move in stages. Start by entering all open loans and their balances. Run the old notebook in parallel for a month and compare totals. Retire the notebook at the start of a BS month. Keep it as an archive. A good vendor will help with this plan and will not insist on a big-bang change.
