How to Choose Money Exchange Software for Your Counter
Choosing software for a currency counter is not like choosing an office tool. The margin is thin, the customers are in a hurry and the stock is cash. The right software protects you from rate mistakes, shortages and lost records, while staying fast enough that the queue never grows. Here are the points to check before you decide.
Speed at the counter
A clerk should be able to complete a typical transaction in under a minute: choose the currency, enter the amount, see the rupee total, take the customer's details if needed and print the receipt. Test this yourself in the demo with a stopwatch. Count the clicks, check that the keyboard works without a mouse and see how the screen behaves with a barcode or card reader if you use one. A system that feels slow in the demo will feel worse at 5pm in October.
Rate control
Most losses at small counters come from wrong rates: an old rate left on the screen, a clerk giving a friend a better deal or a typing slip. Look for a single rate table that only a supervisor can edit, a clear history of changes and an alert when the buy rate would exceed the sell rate. Ask how rates are updated during a volatile day and whether different denominations, such as large and small US dollar notes, can have separate rates.
Stock by currency and denomination
Your cash is your stock. The system must show opening balance, purchases, sales and closing balance for every currency, ideally by denomination. This is what lets you reconcile the drawer at the end of the day. Ask whether it can handle transfers to and from the vault, the bank and other counters, because stock moves for many reasons beyond customer deals.
Margin and average cost
Knowing your margin is the point of the business. A good system tracks the average cost of each currency you hold and compares each sale to it. Ask to see a margin report by day and currency. If the software only lists transactions and leaves you to calculate profit in Excel, it is giving you half a solution.
Customer records and compliance support
Money exchange is regulated, and the rules about customer identification, record retention and reporting can change. Ask how the software captures customer name, nationality, document type and number and links them to transactions. Ask how a report is added when the regulator asks for a new format. Do not accept claims that the software is automatically approved or compliant. Confirm the current requirements with Nepal Rastra Bank or your adviser, then ask the vendor to show that their records can support them.
End-of-day closing
The closing routine is the real test. The clerk enters the physical count of each currency, the system shows the expected balance and the difference is recorded with the user and shift. Look for a clear screen that does not let the clerk skip the step. Ask what happens if there is a shortage: can it be recorded as a variance with a reason and signed off by the supervisor?
Roles, shifts and audit trail
A counter often has two or three clerks across shifts. Each should have a login, and the cash should belong to a shift so you know who was responsible. Deleting a receipt should be impossible or at least leave a visible trail. Ask to see the log of edits and cancellations.
Power cuts, hardware and backup
Ask what hardware is needed, whether it runs on a laptop with a battery and what happens when the power goes mid-transaction. Ask how and when backups are taken and where they are stored. Counter data is financial data, and losing a day's records is a serious problem.
Quick checklist
| Area | Ask the vendor to show |
|---|---|
| Speed | A buy and sell in under a minute |
| Rates | Single table, history, alerts |
| Stock | By currency and denomination |
| Margin | Daily and by currency |
| Customers | Identity captured and searchable |
| Closing | Physical count versus system |
| Control | Roles, shifts, audit log |
Your next step
Bring yesterday's register to the demo and ask the vendor to enter ten transactions from it. The closing balance should match your count. See how our money exchange software handles that test, and message WebsNP on WhatsApp at +977 9846280400 to arrange it. If you also lend or collect instalments, read about loan management software.
