Money Exchange Register or Excel vs Software: Cost Check
For a small counter with one owner behind the glass, a register and a calculator can feel perfectly adequate. The owner knows the rates, knows the customers and counts the cash personally. The picture changes when there are two shifts, a second counter, a busy tourist season or a request from an auditor. This comparison looks at the real costs of each approach without inventing numbers for you.
What a register does well
A paper register is cheap, needs no electricity and is simple to explain. In a one-person counter with modest volumes, it can work for years. Writing by hand also forces some attention to each deal. If you are in that position, the question is not whether to modernise at once, but whether the register still tells you the truth about margin and cash.
Where the register and Excel let you down
- Conversion arithmetic done by calculator at speed produces occasional slips.
- Average cost and margin are rarely calculated, so profit is guessed.
- Closing stock is reconciled late or by estimate.
- Customer details are on loose slips that are hard to find later.
- Shifts blur responsibility: who was at the counter when the shortage appeared?
- Excel files are overwritten, copied and lose history.
- Large reconstructions are needed whenever an audit or inspection happens.
Side-by-side comparison
| Area | Register or Excel | Exchange software |
|---|---|---|
| Rate use | Clerk memory or board | One rate table, logged changes |
| Conversion | Calculator | Automatic with rounding rules |
| Stock | Counted at closing | Live by currency and denomination |
| Margin | Month-end estimate | Per sale and per day |
| Customer details | Slips and notes | Searchable with each deal |
| Shortages | Found late | Recorded by shift and user |
| Owner remote view | Not possible | Reports on phone or computer |
The cost of one wrong rate
On a thin margin, a single wrong rate can erase the profit of dozens of transactions. If a clerk gives a large amount at the morning rate after the board has changed, the loss can be larger than a month's software cost. Consider how often rate errors, miscounts and unexplained differences happen in your counter. Ask yourself honestly what they cost last year. That is the figure to weigh against the price of a system.
Staff dishonesty and trust
Most clerks are honest. A good system is not an accusation; it is a protection. When every deal is numbered, logged and reconciled, an honest clerk is safe from false suspicion and a dishonest one is quickly noticed. Owners who rely on trust alone eventually face a situation in which they cannot prove what happened, and that is uncomfortable for everyone.
The time cost
Measure how long closing takes now: counting, comparing with the register, writing the summary. Measure how long monthly reports take: collecting slips, totalling by currency, working out margin. If either is an hour or more, software can reduce it substantially. For an owner, getting that time back is worth something even before counting accuracy.
What drives the software price
We do not publish a standard price because requirements differ. These are the main factors:
- Number of counters and users.
- Currencies and denominations to track.
- Printing needs: thermal receipt, A5 slip or both.
- Hosting: a local installation or an online system with remote access.
- Customisation of customer fields, approvals and reports.
- Training, support and future updates.
Ask for a written quote showing each item, and ask what is included in support.
Risks of changing
Change brings its own risks: staff resistance, a slow counter during the first days and mistakes in loading opening balances. Reduce these by training staff before go-live, counting the opening stock carefully and running the register in parallel for a short period. A reputable vendor will help with all three.
How to decide
For two weeks, note every error: rate errors, miscounts, missing receipts, closing differences. Note the time spent on closing and reports. Show the list to a trusted adviser and ask whether the pattern justifies a system. If errors are rare and time cost small, keep the register. If not, ask for a demo.
