Petrol Pump Software ยท Guide
How to Choose Petrol Pump Software in Nepal
The best petrol pump software in Nepal is not the one with the longest feature list. It is the one that tells you, each morning, whether yesterday's litres, cash and stock agree. A fuel station has few products but very tight numbers, and small errors repeat every shift. Choose a system by testing it against your own daily routine.
Begin with your layout
Write down your dispensers, nozzles, fuel types and tanks, and which nozzle draws from which tank. Ask the vendor to set up this exact layout in the demo. A system that handles two nozzles per dispenser, two or three fuels and several tanks without a workaround is built for the job. If everything is entered as a general item, you will struggle later with meters and dips.
Check the shift process
Shifts are where cash goes missing and disputes begin. In the demo, open a shift, enter opening readings, record some sales and close it with closing readings and a cash declaration. Look at what the system shows:
- Litres sold per nozzle, calculated from the readings
- Expected collection by cash, digital and credit
- Declared cash and the difference
- A record of who closed the shift and when
If these figures need a calculator on the side, the product is not saving you time.
Look at stock and variance
Fuel stock is the one record owners worry about. The system should hold tank dips, tanker receipts and meter sales, then compute expected stock against measured stock. Ask how it handles a tanker received during a shift and how it treats small differences from temperature or measurement. You are not looking for a miracle figure of zero, but for a clear, daily variance you can track and discuss with staff.
Credit customers
Many pumps in Nepal give fuel on account to fleets, offices and regular drivers. Check that a customer can have several vehicles, that each credit sale records vehicle number and slip number and that statements are easy to print. Ask what happens when a customer passes the credit limit: does the system warn the operator, block the sale or do nothing? Choose the behaviour you want.
Rates are your decision
Fuel rates in Nepal change from time to time. The software should let you enter a new rate with the date and time it takes effect, and keep history so reports remain correct. Be careful of any vendor who claims to supply rates automatically. The rate should come from you and your supplier, and the software should only store and apply it.
Think about your people and premises
Operators at a pump work outdoors, in a hurry and often with limited computer experience. Ask to see the screens an operator would actually use and count the taps needed to enter a reading or a credit sale. A long form that suits an office will be skipped at the nozzle. Also ask where the computer will sit. Many stations keep one machine in a small office, so you should discuss power backup, a printer for slips and bills and what happens when a power cut stops the machine during a busy shift.
If you own more than one station, ask how the owner sees all of them. A good system lets you open a single dashboard with litres sold, cash collected and stock variance for each location, and lets a manager at one pump see only that pump.
Compare vendors on what matters
Compare vendors on what matters
| Question | Why it matters |
|---|---|
| Can it use manual meter entry without trouble? | Most small pumps start this way |
| Does it support direct dispenser connection later? | You may upgrade as you grow |
| How is data backed up? | Losing a year of records is serious |
| Who trains the operators? | Poor training causes wrong entries |
| What reports are included? | You need variance and ageing, not only sales |
Reports you should insist on
Ask to see these five reports with sample data before you sign: nozzle-wise litres by shift, tank variance by day, credit ageing by customer, cash declaration against expected cash by operator, and a monthly summary by fuel. Many tools show plain sales totals and stop there. For a fuel station the value is in the comparisons, because they are what point you to the one nozzle, shift or account that needs attention. If a report you need is missing, ask whether it can be added and how long that takes.
VAT and bills
If your station is VAT registered, bills should be configured with the right VAT treatment and your registration details. Do not rely on a vendor's word on tax rules. Ask how the software is set up, then confirm your own duty with the IRD or your accountant.
Practical mistakes to avoid
Do not buy without seeing a variance report. Do not agree to a system that cannot handle multiple tanks per fuel if you have them. Do not skip staff training, because the operator at the nozzle is the person who decides whether the data is right. And do not forget power and backup, as a station that stops billing in a power cut loses sales.
