Petrol Pump Owner Checklist: 12 Costly Mistakes to Avoid
Fuel station owners rarely lose money in one dramatic event. They lose a little each day through habits that nobody questions. Use this petrol pump checklist to see which of the following twelve mistakes are present in your station, and apply the fix beside each. It applies whether you keep registers or use software.
Shifts and meters
1. Handover without a joint reading
If the outgoing and incoming operators do not read the meters together, either one can later dispute the figure. Fix: both read, both confirm, both sign.
2. Rounding or estimating readings
A guess at the end of a busy shift is carried into the next day. Fix: write the exact meter figure every time, even when queues are long.
3. Forgetting test litres
Measure tests return fuel to the tank but show up as sales on the meter. Fix: record testing litres on a separate line every time.
4. Showing the expected cash first
Operators adjust their declaration to match. Fix: take the declaration first, then compare.
Stock and tankers
5. Dipping only when something looks wrong
Without a regular dip, you have no baseline. Fix: dip every tank at a fixed time each day and keep the record.
6. Not dipping before and after a tanker
You then cannot prove how much reached the tank. Fix: take both dips on every delivery and note the invoice quantity.
7. Ignoring a steady small variance
A small daily loss adds up. Fix: track variance by tank and investigate any pattern, such as one nozzle, one shift or one tanker source.
Money and credit
8. Credit without limits
A single slow account can tie up working capital that you need for the next tanker. Fix: set a limit and a billing cycle for each account.
9. Letting slips pile up
Slips found weeks later are rarely recorded fully. Fix: match slips to the credit book every day before the shift closes.
10. Mixing cash and digital in one total
A shortage becomes impossible to explain. Fix: track cash, QR, card and bank separately and compare each with its statement.
Records
11. Not recording rate changes with time
A rate change in the middle of a shift can price sales wrongly. Fix: write the time and each nozzle reading when the rate changes, and enter the new rate with that effective time.
12. Keeping the owner out of the numbers
If the owner sees the report only at month end, problems have already grown. Fix: review a short daily summary and one weekly meeting with the supervisor.
A quick self audit
| Area | A healthy sign |
|---|---|
| Meters | Every shift has agreed opening and closing figures |
| Dips | Daily readings with a known tolerance |
| Cash | Declarations come before comparison |
| Credit | Top five accounts and their ages are known |
| Rates | Every change is dated and timed |
| Backup | Records are copied somewhere safe regularly |
Run the checklist as a monthly meeting
Print the list and go through it with the supervisor on the first day of every Nepali month. For each item, ask whether it was followed last month and what evidence you have. Record any item that was missed and decide who will fix it. Keep the sheets from each meeting in a file. After a few months the file becomes proof that you manage the station actively, which is useful if you ever need to answer a supplier, a bank or a partner about how the pump is run.
Staff matter most
Staff matter most
Operators are the people who produce the data. Explain why exact readings and honest declarations help the station and the staff. Treat errors that are reported openly differently from errors that are hidden. A culture where it is safe to say that a reading was missed leads to better records than a culture of fear.
Where software fits
Software makes many of these fixes automatic: litres from readings, a daily variance report, cash declaration before comparison, credit limits and dated rates. It cannot replace supervision at the nozzle. The best results come when a clear routine and a good system work together.
Mistakes that appear after you add software
New systems bring new errors. Operators may enter readings in the wrong nozzle, back-date entries to hide a gap or share one login among the whole shift. Give each user a separate login, review the activity log in the first weeks and agree that corrections are made by a supervisor with a reason. Do not keep the paper registers running in parallel for long, as double entry tires staff and the new system is quietly dropped. A short overlap of two or three weeks is enough.
This week's steps
- Pick the three mistakes you recognise most and fix them first
- Start a daily dip record if you do not have one
- Match credit slips every evening
- Review a one page daily summary each morning
