Petrol Pump Software vs Paper Register: Cost Compared

Updated 15 Oct 2026 ยท 6 min read ยท WebsNP team

Many petrol pumps in Nepal still use registers: a nozzle reading book, a dip book, a credit book and a cash book. They are cheap and familiar, so owners ask whether petrol pump software is worth buying. The fair answer depends on how much you lose in gaps you cannot explain. We do not quote prices in articles because they come from a demo and depend on your station, but we can show you how to work out the value yourself.

Where a register fails

A paper system works if every operator writes every figure, every day, in the right book, and if someone checks them. Real stations have shift changes, rush hours and tired staff. The usual failures are:

  • Readings written late or rounded
  • Credit slips lost before they reach the credit book
  • Arithmetic mistakes in daily totals
  • Variance noticed only at month end
  • Rate changes applied unevenly
  • No way to see who made a change

The cost of small variances

Fuel is high in value per litre, so even a small unexplained loss each day becomes meaningful over a month. Take a litre figure you think is realistic for your station, multiply by thirty days and by the rate you use. Do this for each fuel. You may be uncomfortable with the answer, but the exercise shows what the gap is worth. If software helps you find and cut part of that gap, it pays for itself differently than a feature list would suggest.

What drives the software cost

FactorEffect on the quote
Number of stationsEach location needs set-up and support
Dispensers and nozzlesMore meters mean more configuration
Users and rolesOperators, supervisors, accountant and owner
Credit customers to importA long customer list takes more time

Hidden costs of paper

A register needs a person to total it, another to verify it and shelf space to store years of books. When an auditor, bank or partner asks for a year's figures, someone spends days compiling them. A lost or damaged book cannot be recovered. Software with regular backup removes these risks and gives you the same reports in minutes.

What software cannot fix

If readings are entered carelessly, the report will be careless. If a dishonest operator wants to take cash, software makes it more visible but does not stop determination. Good practice, supervision and clear consequences are still needed. The software gives you the evidence and the speed to act.

Time is a cost too

Count the hours your manager or accountant spends each week copying figures between books, totalling credit slips and preparing reports for the owner or a partner. Even if you value that time modestly, it is a recurring cost. Software does not remove the need for a manager, but it shifts that time from copying to checking, which is where it adds value. Also consider the stress cost of not knowing, on a given morning, whether the station is in order.

The cost of a bad month

Look back at the worst month your station has had. It may have been a month with a large credit default, an unexplained stock gap or a staff problem that took weeks to detect. Ask what it would have been worth to see the problem on day two instead of day thirty. That figure is a more honest basis for the decision than a price list. It also shows which parts of a system matter most to you, whether variance reports, credit limits or cash declarations, so you can ask each vendor to demonstrate those first.

How to decide

How to decide

If your station has one or two nozzles, mostly cash sales and a trusted family team, a register may suit you for now. Once credit accounts multiply, shifts increase or you plan a second station, the numbers become harder to hold in notebooks. Ask yourself how many mornings in a month you wonder what happened yesterday. If the answer is more than a few, a system is worth a serious look.

Start small and measure

You can adopt software in stages. First record nozzle readings and shift cash. Next add tank dips and tanker receipts. Then move credit accounts across. After a month compare the variance report with your old understanding of the station. That comparison is more convincing than any sales talk.
