Petrol Pump Management Software for Nepal
Record nozzle readings, tank stock, shift sales and credit customers in one system and see every litre, every shift and every dues balance clearly.
A petrol pump looks simple from the outside: fuel goes out, money comes in. Inside, the owner juggles opening and closing nozzle readings, tank dips, shift handovers, cash and digital payments, credit accounts for vehicles and companies, and a stock that must reconcile with every tanker received. Petrol pump software brings those numbers into one daily record instead of several registers.
WebsNP builds the system around how a fuel station really works: each dispenser and nozzle has its own meter, each tank has a dip chart, each shift has a person responsible and each credit customer has a vehicle list and a limit. The rate per litre is whatever you set in the system, and the software simply stores it and applies it to every sale from that moment.
You see sales by fuel, by nozzle and by shift, plus variance between meter sales and tank stock, on one screen. If you also manage transport vehicles, look at our fleet management software, or message us on WhatsApp to arrange a petrol pump demo.
Who Petrol Pump Software is for
Single-pump owners
You run one station with a handful of nozzles and want an accurate daily sales and stock record without paper registers.
Multi-station operators
You own pumps in several towns and need combined reports with separate stock and cash for each location.
Pumps with heavy credit accounts
Trucks, buses, ambulances and offices fill on account, and you need a clean ledger for each customer and vehicle.
Pumps with lubricant and convenience sales
You sell engine oil, coolant and small items beside fuel and want one bill and one stock list.
Managers who work in shifts
You rely on supervisors and operators and need a clear handover and cash declaration for every shift.
Problems it solves
| The problem today | How the software fixes it |
|---|---|
| Meter readings are written on slips and cannot be checked later | Opening and closing readings are entered per nozzle per shift, and litres sold are calculated by the system. |
| Tank stock does not match sales and nobody can explain the difference | Dip readings, tanker receipts and meter sales are compared, and variance is shown by tank and by day. |
| Cash handed over by an operator is short or disputed | The system compares expected cash and digital collection with what the operator declares at shift end. |
| Credit customers lose track of what they have taken | Each credit sale records the vehicle, quantity and slip number against the account for easy statements. |
| The rate changes and some sales get billed at the old rate | A new rate is entered once with its date and time and applied to all sales after that point. |
| The owner finds out about problems days later | Daily summaries show sales, collection, stock and variance without waiting for the monthly register. |

Built for how Nepal works
Owner-set rates with a dated history
Fuel prices in Nepal change from time to time. The software never assumes a price: you enter the rate when it changes and the system uses it from that moment.
Bikram Sambat dates and fiscal year
Shift reports, bills and statements can show BS dates, and the books can follow the Nepali fiscal year starting in Shrawan.
VAT-ready bills
Where your station is VAT registered, bills can be set up with 13% VAT and your PAN or VAT number. Confirm your own duties with the IRD or your accountant.
Credit to local fleets and institutions
Trucks, buses, tippers, offices and schools often fill on account. Ledgers, limits and statements are designed for monthly or weekly settlement.
Load-shedding and remote locations
Plan around power and connection at the station. Readings can be entered at the desk and we explain backup and recovery routines during the demo.

Does the software set or quote fuel prices?
No. The price per litre is entered by the owner or manager whenever it changes, and the software stores it with the date and applies it to later sales. We do not supply or guess rates, so you always control what is billed.
Can it connect directly to my dispenser meters?
The standard set-up uses manual entry of opening and closing readings. Direct connection depends on the make of your dispensers and is a separate discussion. Tell us the dispenser brand and we confirm what is possible before you decide.
How does it help me find stock differences?
It compares litres sold from meter readings with the change in tank dips plus tanker receipts. The variance appears by tank and by day, so you can spot a pattern, such as a nozzle or shift that regularly shows a gap.
Can I run credit accounts for trucks and companies?
Yes. Each account can have several vehicles, a credit limit, a billing cycle and slip numbers. Statements can be printed or sent on WhatsApp, and an ageing report shows who is overdue.
Is shift handover supported?
Yes. Each shift records the operator, readings, collections and expenses. At closing the system shows expected cash against declared cash, and the difference stays on the record for the owner to review.
Can bills carry VAT?
Bills can be configured for 13% VAT where your station is registered, with your PAN or VAT number on them. Confirm your own invoicing obligations with the IRD or your accountant before going live.
Can one owner see several stations?
Yes. Each station keeps its own stock, shifts and cash, and the owner sees combined and station-wise reports. Staff access can be limited to one location.
What does it cost?
The price depends on the number of stations, nozzles, users and customisation, so we give a quote after a demo instead of a public fixed rate. Message us on WhatsApp to arrange the demo.
