School Accounts: Manual Register vs Software and Cost

Updated 15 Oct 2026 ยท 8 min read ยท WebsNP team

Most community schools keep accounts in a cashbook and a pile of vouchers, and many do it well. Software is not a must for every school. The question is whether the effort and risk of the manual way outweigh the cost and change of a system. This article compares the two and explains what drives cost. We give no prices, because they depend on your needs and follow a demo.

What manual accounts do well

Registers cost little, need no electricity and are understood by everyone. A small school with few transactions and a careful accountant can stay in good order for years. If your school has a handful of entries a week and one clear grant, a well-kept register may be enough.

Where manual accounts struggle

  • Arithmetic errors. A wrong total in March is carried into every later page.
  • Slow reports. Every committee meeting and every audit means days of copying and adding.
  • Mixed grants. It is hard to show the balance of each grant from one running register.
  • Lost vouchers. A single file box holds a year of paper, and one missing bill raises a question.
  • Dependence on one person. When the accountant leaves, understanding leaves too.
  • Little control. A page can be rewritten with no trace.
  • Audit rush. The weeks before the audit become a scramble.

Measure your own effort

Estimate three numbers from the last year. First, the hours your accountant spent preparing reports and audit files. Second, the number of corrections or differences found by the auditor or the committee. Third, the number of times someone asked for a figure that took more than a day to produce. If these are high, software can reduce them. If they are small, you may not need it yet.

What drives the price

  • Number of users, such as accountant, head teacher, treasurer and viewers.
  • Number of funds, bank accounts and income sources.
  • Whether you need salary sheets for staff paid from school funds.
  • History to be entered, such as opening balances or a year of past vouchers.
  • Custom voucher and report formats required by your local level.
  • Local installation or online access, and the backup arrangement.
  • Training and support after go-live.

Ask for set-up and recurring charges separately. Ask what is included in support, such as help at the audit season, and whether data can be exported if you leave. A small, clear package is better for a school than a large one with unused modules.

Costs that are easy to forget

Software needs a computer, regular backups and electricity. It also needs someone who can use it. Plan training for a second person so the system survives a transfer. Allow a few weeks of parallel running, when the register and the software are both kept and compared, before the register is closed.

Who pays and how to justify it

School funds are meant for education, so any spending on software should be agreed by the committee and recorded with a decision. Whether such spending is allowed from a particular grant depends on that grant's conditions, so check before charging it. Some schools meet it from local support or their own fund. Present the committee with the comparison above, a quote and a demo, so the decision is open and documented.

Time saved at audit season

Ask your accountant how many days the last audit took to prepare and how many were spent copying figures between registers. With software, the cashbook, ledgers, trial balance and fund statements come from the same entries, so the preparation shifts from re-typing to checking. The saved days can go to what matters: reviewing vouchers, replying to the auditor and presenting the result to the committee and community. Even if the cost in rupees is hard to measure, the time of a skilled accountant and the calm of a school during audit are real benefits.

Also consider the cost of an error. A misplaced figure found by an auditor can lead to extra questions, delays and a doubt about the whole file. A system that checks totals automatically reduces such cases, though it cannot detect a wrong head or a missing bill that someone never entered.

A balanced view

Software does not make a school honest or the books right on its own. It makes errors visible earlier, reports faster and records harder to lose. The value comes from using it daily and reading its reports. Where a school will not do that, a good register is better than an unused system.

Your next step
