Community School Accounts Software ยท Guide
How to Choose Accounts Software for a Community School
A community school does not need the same accounts package as a shop. It needs a clean way to keep grants apart, record every voucher, show the committee a monthly picture and hand the auditor what they ask for. This guide helps a head teacher, accountant or committee treasurer choose software that fits that reality. It is about record keeping, not legal advice.
Start with your money map
Before talking to any vendor, list every source of money your school receives and every kind of spending. Include grants from the local level, any other external support, student fees where collected, donations, rent, interest and small projects. Then list the main spending: salaries paid from school funds, maintenance, teaching materials, events, utilities and construction. This map shows how many funds you need and what reports matter.
Features that matter for a school committee
- Separate heads for each grant and fund. Money given for one purpose must not blur into another.
- Cashbook and bank book. Daily entries with running balances.
- Numbered vouchers. With approver names, dates and room for bills.
- Bank reconciliation. The book balance matches the statement or the gap is listed.
- Budget against actual. A simple view of what was planned and spent.
- Salary sheets for staff paid from school funds.
- Asset and stock register. What the school owns and what was issued.
- Reports a committee can read. Not only ledgers for accountants.
Features you probably do not need
Complex inventory costing, multi-currency, manufacturing modules and sales invoicing add cost and confusion. A good school package is smaller and clearer. Ask the vendor to switch off what you do not use rather than showing everything.
Compare with a general accounting package
| Question | General accounting package | School-focused set-up |
|---|---|---|
| Grant heads | Possible but built by the user | Configured as funds from the start |
| Voucher style | Business invoices and bills | Payment and receipt vouchers with committee decision numbers |
| Reports | Profit and loss, balance sheet | Income and expense by head, fund balances, social audit view |
| Learning effort | High for non-accountants | Lower, using school terms |
If your accountant already uses a general package for another purpose, discuss whether it can do the job. See accounting software for Nepal for what such systems offer. Many schools find a purpose-set-up easier for volunteers.
Think about the people who will use it
The accountant of a community school may be a teacher with other duties or a part-time staff member. The treasurer is often a local volunteer. Choose software they can learn in a day, in Nepali terms such as voucher, cashbook and head, rather than a system built around journal entries and debits that only a trained accountant reads. During the demo, ask the actual accountant to enter a payment, a receipt and a bank charge. If they feel comfortable, the system will be used. If not, no feature list will rescue it.
Ask also about training for the person who replaces them. Transfers and changes are common, and the system must survive them. A short written guide, in Nepali if possible, helps a new person start without waiting for the vendor.
Check who owns the data
School records must survive changes of head teacher, accountant and committee. Ask whether the data stays on a school computer or on the vendor's server, how backups work, whether you can export everything to Excel and what happens if you stop using the service. Never accept an arrangement where the school cannot get its own records back.
Roles and approvals
Ask whether the system separates the person who enters a payment from the person who approves it. A simple rule, such as the accountant enters and the head teacher or treasurer signs off, protects both. The activity log should show who created, changed or cancelled a voucher.
Ask about the rules you must follow
Requirements for community school accounts, such as the format of reports, the approval of budgets and the process of audit, come from education rules, your local level and the committee. A trustworthy vendor does not pretend to know them all or claim any official endorsement. Ask them to configure what your education unit or auditor asks for, once you provide it in writing.
Your next step
