Community, government and NGO
Accounts Software for Community School Management Committees
Keep the school fund, government and palika grants, fees, teacher salary and expenses in one clear record that the committee, auditor and parents can follow.
A community school in Nepal handles money from many directions: grants from the local level, support from the government, student fees where they apply, donations from alumni and parents, rent of a hall and sometimes income from a small project. The head teacher, the accountant and the management committee all need to know where it went. Community school accounts software keeps that in one place.
WebsNP configures the system for how your school actually keeps accounts: separate funds and grant heads, cashbook and bank book, vouchers, teacher and staff salary records, budget against actual and reports for committee meetings, social audit and the auditor. Dates can be in Bikram Sambat and amounts in NPR.
The rules for what a community school may collect, spend and report come from education law, your local level and your committee decisions, so we set up the records and you decide the rules. For student fees, exams and parent messages, see school management software. Message us on WhatsApp for a demo.
Who Community School Accounts Software is for
Community and public schools
You manage grants and a school fund through a management committee and need clean accounts every year.
Head teachers and school accountants
You prepare the cashbook, vouchers and reports by hand and want fewer errors before the audit.
Management committee chairs and treasurers
You sign off on spending and want to see income, expense and balance without waiting for a notebook.
Schools with multiple income sources
You receive grants for different purposes plus local contributions and must keep them apart.
Schools running extra levels or projects
You have a pre-primary section, a hostel, a canteen or a small farm that has its own income and spending.
Problems it solves
| The problem today | How the software fixes it |
|---|---|
| Grants for different purposes are spent from one pool | Each grant is a separate head with its own income, spending and balance, so restricted money stays restricted. |
| The cashbook and bank book do not agree | Bank entries are matched to the bank statement and differences are listed in a reconciliation. |
| Vouchers are missing or unnumbered at audit time | Every payment has a numbered voucher with approvals and a place for scanned bills. |
| Teacher and staff salary records are scattered | Salary sheets, allowances, deductions and advances for staff paid from school funds are kept month by month. |
| The committee sees accounts only once a year | A monthly income and expense summary can be printed for each meeting. |
| The accountant changes and records are lost | Records are in the system with roles and a log, not in one person's register. |

Built for how Nepal works
Nepali fiscal year and BS dates
Accounts follow the fiscal year that starts in Shrawan, and every entry can show a BS date so the cashbook reads like the one your auditor expects.
Grants from different levels
Grants may come from the local level and other sources, each with its own purpose and conditions. Heads are set up per grant so spending can be shown against it.
Social audit and public reporting
Community schools commonly present accounts to parents and the community. Reports are designed to be readable in a public meeting. Required formats come from your local education authority.
Rules from the law and the local level
What the committee may spend, collect and approve is set by education rules, your local level and committee decisions. We configure the records; confirm the rules with your education unit or accountant.
Simple computers and patchy connectivity
Many schools have one computer and limited internet. We discuss a local installation, backups and who holds the data during the demo.

Can the software keep separate accounts for each grant?
Yes. Each grant or project is set up as its own head. Income and spending are recorded against it, and reports show the balance for each head, which helps when a funder or the local level asks how a grant was used.
Will it produce reports for the auditor?
It produces cashbook, bank book, ledgers, trial balance and fund statements that an auditor normally asks for. The exact format required by your local level or education office is configured once you share it with us. We do not claim any official approval of a report format.
Can it handle teacher salaries?
It can keep salary sheets for staff paid from school funds, with allowances, deductions and advances. Teachers paid through a government system are not paid by this software, but their details can be recorded for reference if you wish.
Does it work for a school with weak internet?
Yes. A local installation on the school computer can be used without internet, with regular backups to an external drive. We discuss the best option for your school in the demo.
Can parents or the community view the accounts?
The committee can print summary reports for the public hearing or meeting. Direct online access for the public is not needed for most schools, but a read-only role can be given to selected members.
Is it only for accounts or does it manage students too?
This product is for the committee's accounts. Student admission, fees, exams and parent messages are covered by our school management software, and the two can be considered together if you want both.
Can we import last year's balances?
Yes. We enter opening balances for cash, bank and each fund, agreed with the committee, and can import past data from Excel if you have it. Older paper registers can be typed in as part of set-up.
What does it cost?
It depends on users, funds, salary needs and the history to be entered. We give a written quote after a demo and do not name a figure beforehand.
