How to Track University Applications for Many Students

Updated 14 Oct 2026 ยท 7 min read ยท WebsNP team

If your agency handles a few dozen students a season, tracking applications in your head or in chat messages will eventually fail. The cure is not complicated: one record per application, a short list of agreed statuses and a daily look at what is due. This article shows how to set it up whether you use a spreadsheet or a system like the Study Abroad CRM.

Separate the student from the application

Create two layers of information. The student layer holds identity, contact, education history, test results, guardian details and your service agreement. The application layer holds one entry per institution and course the student is applying to, with its own intake, status and dates. When you mix them, you end up retyping student details for every application or, worse, losing track of which university the note about a missing certificate refers to.

Agree on a status list

Choose a small set of statuses that everyone uses the same way. A common pattern is:

  1. Shortlisted
  2. Documents being prepared
  3. Ready to submit
  4. Submitted
  5. Additional information requested
  6. Offer received (conditional or unconditional)
  7. Offer accepted
  8. Further documentation after acceptance
  9. Enrolled or closed

Your list may differ. What matters is that each word has one meaning. If one counsellor uses "processing" to mean ready to submit and another uses it to mean submitted, the numbers are meaningless.

Record the dates that matter

For every application capture four dates: the institution deadline, your internal submission target, the date submitted and the date of the last update from the institution. The internal target should sit comfortably before the real deadline to leave room for corrections. Show dates in AD for institutions and BS for students if that is how you communicate, but store them once so they cannot disagree.

Handle offers properly

An offer is not the end of the job. Record whether it is conditional or unconditional, what the conditions are, the acceptance deadline and any payment the institution requires. Create a task for each condition with an owner and a due date. A conditional offer that is forgotten for two weeks is one of the most avoidable problems in this business.

A daily and weekly rhythm

Each morning, the application officer should open three views:

  • Applications with deadlines in the next fourteen days.
  • Applications waiting on the student for something.
  • Applications waiting on the institution for more than a set number of days.

For the first two, contact the student. For the third, check the institution's channel and note the response. Each week, the manager reviews counts by status, by institution and by counsellor, and asks why any file has been in the same status too long.

Keep students informed without overloading them

Students feel anxious while they wait. A short update when an application moves to the next status, for example by WhatsApp, reduces repeated calls and builds trust. Keep the wording plain and honest. If an institution has not replied, say so, instead of guessing. Do not predict decisions.

Dealing with changes after submission

Applications rarely move in a straight line. An institution may ask for a clearer transcript, a student may change course, an intake may be deferred or a student may withdraw one application and keep the others. Record each change as a dated note on the application itself, and keep the old status in the history. When a student calls and says "you told me last month it was fine," the history lets you answer calmly with facts.

Handing over files between staff

Application officers go on leave and counsellors change roles. A file is easy to hand over if the next person can open it and see the status, the next action, the owner and the last three notes. If instead they need to ask the previous owner what was going on, the structure is not doing its job. Test this by asking someone unfamiliar to read a file and tell you what should happen next.

Where a spreadsheet struggles

You can run this process in Excel, and many agencies do. The pain begins when you need to see all applications for one institution, filter by intake month across counsellors or show a student's full history to a colleague who takes over. At that point a structured system pays for itself in saved searching. A system also records who changed a status and when, which resolves "I thought you submitted it" conversations.

Common mistakes

  • Tracking the student's overall status instead of each application's status.
  • Allowing free-text institution names, which produces five spellings of the same university.
  • Not recording the reason an application was withdrawn or declined.
  • Keeping offer letters only in an email inbox.
  • Leaving conditional offer tasks without an owner.

A short example walkthrough

Imagine a student, generic and unnamed, interested in two countries. You create the student profile, then two applications for one country and one for the other. Each gets a checklist from its template. The documentation officer works through the checklist, marks items verified and moves each application to ready to submit. The application officer submits them and updates the status with the date. A week later one institution asks for more information. The status changes, a task appears with a due date and the student receives a message. When an offer arrives, its type and conditions are recorded and the student is guided through acceptance. Every step is visible to the counsellor, the officer and the manager.

Next step

Try mapping three of your current students into this structure. If it feels natural, you are ready to formalise it. WebsNP can set up this structure in a system configured to your statuses, institutions and checklists. Message us on WhatsApp at +977 9846280400 to see it with sample data.
