Study Abroad CRM for Nepali Overseas Education Agencies
Track every application by university and intake, manage IELTS and PTE leads, and keep agent commissions and student payments in one clear system.
A study abroad agency does not manage a single list of students. It manages many small pipelines at once: one student with three university applications, another waiting for a test score, a third whose offer is conditional on a document. When these live in separate sheets, files slip and intakes are missed.
The Study Abroad CRM from WebsNP is built around the application, not just the student. Each student can have several applications, each with its own university, course, intake, status and deadline. Test preparation leads, referral partners and commission records connect to the same data.
If your focus is the full counselling and fee cycle of a consultancy office, see our Consultancy Management Software. If you also run language classes, the coaching institute system pairs well with this one.
Who Study Abroad CRM is for
Overseas education agencies
Teams placing students in several countries and institutions, who need to see every application and its deadline in one place.
Agencies with sub-agent networks
Head offices receiving students from partner agents, local referrers or past students, and paying commission on enrolment.
IELTS and PTE centres with counselling
Centres that turn test-preparation students into application clients and want to see that journey in one record.
Application processing teams
Back-office staff who submit applications, chase offers and follow up conditions for many students at once.
Growing multi-branch agencies
Offices opening branches outside Kathmandu that want shared standards and branch-level visibility.
Problems it solves
| The problem today | How the software fixes it |
|---|---|
| One student, several university applications, no single view of where each stands. | Each student has multiple applications with their own status, deadline and intake, shown together on the student file. |
| Offers arrive by email and nobody notices a conditional offer needs action. | Offer type and conditions are recorded with a due date, and conditions appear as tasks for the owner of the file. |
| IELTS and PTE class leads never become counselling leads. | Test preparation leads sit in the same system, with a stage that flags when a student is ready for counselling. |
| Commission owed to agents and referrers is calculated by memory. | Each student carries a source or agent, and a commission record with its trigger, amount owed and payment status. |
| Intake deadlines pass because nobody tracks them across students. | A deadline view lists applications by intake and closing date so the team sees what is due this week. |
| The owner cannot compare countries, institutions or counsellors. | Reports break down applications, offers and enrolments by country, institution, counsellor and agent. |

Built for how Nepal works
BS and AD dates side by side
Students and parents think in BS while institutions work in AD. Both dates can be shown on deadlines and instalments to avoid confusion.
Sub-agent and local referrer network
Nepali agencies rely heavily on referrals from schools, past students and smaller agents. The system keeps a clean ledger of who sent whom and what is owed.
Test centre cross-over
Many Nepali students begin with an IELTS or PTE class and move to counselling afterwards. Keeping both in one record avoids losing that natural pipeline.
Fees in NPR, institution fees elsewhere
Your service fee is in NPR, while tuition and application fees may be in foreign currency. The system can record both without mixing them, and you confirm tax treatment with your accountant.

Does the CRM guarantee offers or visas?
No. It tracks applications, documents and payments. Results are decided by institutions and embassies, and the software cannot influence them. Treat any promise to the contrary with caution.
Can I track several applications for one student?
Yes. Each student can have as many applications as needed, each with its own institution, course, intake, status and deadline, all visible on the student file.
Can it calculate agent commission?
It can be configured with the commission rules your office uses and keep a ledger per agent. Your agreements decide the numbers, and the system helps you apply them consistently and show what is unpaid.
Does it connect to university portals?
Generally no. Institution portals differ and change often. The CRM records the status your team enters. If you have a specific integration in mind, ask during the demo and we will be honest about feasibility.
Can IELTS leads and study abroad leads be in one system?
Yes. Test preparation enquiries can be tracked with their own stages and later converted into counselling clients without re-entering details.
Can sub-agents log in?
A limited agent view can be set up so partners see only their own referred students. We recommend agreeing what they may see before enabling it.
Can I import my existing data?
Usually yes, from Excel or CSV. We review the file, map columns and import during setup. Clean data imports far more smoothly than messy data.
How is pricing decided?
Pricing depends on users, branches and custom work. We quote after a demo, so you do not pay for features your agency will not use.
