Study Abroad CRM vs Spreadsheet: Cost and Common Mistakes

Updated 14 Oct 2026 ยท 6 min read ยท WebsNP team

Many Nepali study abroad agencies start with spreadsheets and some outgrow them without noticing. This article compares the two approaches honestly. It does not quote prices or invent savings, because the right answer depends on your size, your team and how disciplined you are with data. It will help you decide using your own numbers.

When a spreadsheet is enough

A single counsellor with a modest number of students per intake can manage with a well-structured spreadsheet. The conditions are strict, though: one file, one editor, regular backup, consistent column use and no commission or fee tracking in separate places. If any of these fail, errors creep in.

Signs you have outgrown it

  • More than one person edits the file, and versions multiply.
  • You cannot quickly list every application closing this month.
  • Agent commission is tracked on a different sheet or on paper.
  • Test leads and counselling clients are in separate files.
  • You answer "how many offers did we get this intake?" by counting by hand.
  • A staff member left and their notes were lost.

If you recognise three or more, you are paying for the lack of a system already, just invisibly.

Common mistakes when switching

Importing messy data. If your sheet has five spellings of each university and duplicate students, the CRM will inherit them. Spend a day cleaning before import. A good vendor will help you identify what to fix.

Copying the spreadsheet's flaws into the system. A CRM is a chance to improve your process. If your old sheet had no field for offer conditions, add one now.

Too many fields at the start. Staff abandon forms that take ten minutes. Begin with the fields people use daily and add more as needed.

No owner for the system. Name one person who is responsible for data quality and for asking staff to follow the process.

Running both systems in parallel for months. A short overlap is fine. A long one means nobody trusts either.

What to ask your own team first

Before buying anything, ask each counsellor and application officer two questions: what part of your day feels most wasted, and what do you most often have to ask someone else for? Their answers are the requirements. A tool that removes those two irritations will be adopted willingly. A tool chosen only because it looks impressive will be worked around. Take notes, because these notes become your demo script.

Do not forget accounts

Service fees, instalments and agent commission all end up with your accountant. Choose a setup where receipts, dues and commission payments can be exported by month and by Nepali fiscal year, which begins in Shrawan. If you need full books, see our accounting software. A CRM and an accounting system do different jobs, and clean exports between them save hours at year end.

A way to judge value without guessing

Count last intake's students and your average service fee. Estimate honestly how many enquiries were never followed up properly. Ask your team, not just yourself. Then imagine converting only a small portion of those. Multiply by the fee. Compare to the quote. If it is not close, keep your spreadsheet and revisit later. If it is clearly worth it, proceed. Do not rely on any vendor's promise of a specific improvement, including ours.

What about a cheap generic tool?

Some agencies try a free task board, a shared notes app or a general contact manager as a middle step. These can work for a few months, but they usually lack the application layer, so staff end up creating one card per university and losing the link to the student. They also rarely handle commission or fees. If you try one, keep a note of every workaround your team invents. That list is exactly what a purpose-built system should replace, and it will make your eventual demo conversation sharper.

Consider the non-financial benefits

  • Calmer intake season, since deadlines are visible.
  • Easier onboarding of new staff.
  • A more professional experience for students and agents.
  • Better ability to open a second branch without chaos.

These are harder to price but real. Owners who have made the switch often say that the main gain was knowing what was going on without chasing people.

A sensible rollout

  1. Clean your existing sheet.
  2. Pick a start date for new enquiries to enter the system only.
  3. Import current students in one batch.
  4. Train staff in short sessions and let them practise on test records.
  5. Review after two weeks and adjust fields.
  6. Add commission and reporting once daily entry is stable.
