Records a Vocational Training Institute in Nepal Should Keep
A vocational or technical training institute in Nepal may have to show records to several audiences: the affiliating or regulating body, a donor or project that funds some trainees, employers who verify certificates, and the trainees themselves. We describe record keeping only, not legal requirements. Rules, forms and deadlines belong to the relevant bodies, such as CTEVT for its programmes and the skill testing process for certification, and they can change. Always confirm the current requirements directly with them. What follows is a practical set of records that makes any such request easier to answer.
Trainee records
Each trainee needs a complete file from the first day. It should include their name in English and Nepali exactly as on identity documents, date of birth in Bikram Sambat and English, gender, address, phone number, education level, identity document copy, photograph and the course and batch enrolled. For funded trainees, keep the selection criteria and any referral or application form. Keep this in one place, not scattered across the admission desk, the accounts office and the trainer.
Attendance records
Many bodies and funders expect a minimum attendance. Keep a daily sign-in or tick list per batch, signed by the trainer, and a summary showing each trainee's percentage. Do not fill attendance in later from memory. If you use a biometric or card device, treat it as a source and keep the exported reports. Record reasons for long absence, such as illness, because they matter if a trainee asks for an exception.
Trainer records
- Name, qualification, experience and contact details
- Copies of certificates and any licences or trainer qualifications relevant to the course
- Courses and batches taught, with dates
- Hours delivered, signed on a monthly sheet
- Payment records and agreed rate
When someone inspects or reviews your institute, a clear trainer file is one of the first things they look for. It also protects you if a trainer leaves and a dispute about hours or pay arises.
Course and curriculum records
Keep the curriculum or syllabus for each course, the version you follow, the number of theory and practical hours, the learning outcomes if defined, and the assessment method. Keep dated copies when the syllabus changes. If a course is based on an official curriculum, store the reference to it and note any local additions.
Assessment and certification records
For each trainee, record assessments taken, marks or competence results and the assessor. Where trainees go on to an external skill test or exam run by another body, record the application, the test date and the result when it is published, from the official source. Keep your own certificate register as well, with serial number, issue date and collector. Never mix your institute's completion certificate with an official certificate; keep them clearly labelled.
Finance records
Fees, receipts, scholarships and refunds should be traceable by trainee and batch. Keep numbered receipts, instalment schedules, the daily collection report and bank deposit slips. Where an outside project pays for trainees, keep the agreement, invoices and proof of delivery. Record expenses against courses where you can, such as consumables for practical classes, so you know what each course really costs. If VAT or other taxes apply to your institute, ask your accountant or the Inland Revenue Department what to record and report.
Facilities and equipment
| Record | Why it matters |
|---|---|
| List of machines and tools by lab | Shows capacity per batch |
| Maintenance and repair log | Shows equipment is usable |
| Consumables issued per batch | Controls waste and cost |
| Safety rules and incident notes | Protects trainees and staff |
| Room timetable | Shows planned use and avoids clashes |
Placement and follow-up
If you help trainees find work, keep a simple record of where they go after the course, with consent. This is useful for reports to funders and for your own marketing, but do not publish claims about placement rates unless you can show the data. A simple annual list of completed trainees and their current status is enough to start.
Keeping it all together
The more of these records live in one system, the less time you spend assembling them. A training institute system links the trainee, batch, attendance, trainer, fees and certificates so that reports are a matter of selecting a batch and an export. WebsNP builds this in our training institute software. Institutes that also run hostel facilities for out-of-town trainees can add hostel management software.
Back up and protect personal data
Trainee files contain identity numbers, phone numbers and photographs. Treat them with care. Limit who can see and change them, use individual logins instead of a shared password, and keep regular backups on a separate device or storage. When staff leave, remove their access the same day. If you ever share trainee lists with an outside body or a funder, share only the fields they need. Careful handling protects your trainees and also protects your institute if a question arises about how information was used.
Prepare a ready file for visits
Keep a folder, physical or digital, that you can hand over within minutes when an inspector, funder or partner visits. It should hold a list of courses, a list of active batches with trainee counts, trainer files, attendance summaries, a sample of assessment records, the certificate register, a fee summary and the equipment list. Update it monthly. Institutes that do this stay calm during visits, while institutes that wait for the notice spend days searching and still miss items.
Next step
Take one recent batch and check whether you can produce each record above within an hour. The gaps you find are your priority list. Message WebsNP on WhatsApp to see how a system would fill them for your courses.
