How to Choose Training Institute Software in Nepal

A training institute has a different rhythm from a school. Courses are short, batches start and finish through the year, students pay in instalments and the product at the end is a certificate with your name on it. Software built around a fixed school year will force you into awkward workarounds. This guide helps you choose software that fits an institute, and shows the questions that expose weak systems quickly.

Describe your institute on one page

Before talking to vendors, write down your courses with their duration and fee, the number of batches you run in a typical month, the timings, the rooms or labs, the trainers and how you pay them. Add how trainees pay, how you decide completion, and what certificate you give. Include any outside body that your courses relate to, such as CTEVT or a skill testing process, and any reports you must submit to it.

Use this page as your test script. A strong vendor will ask for it, and will set up one of your courses during the demo.

Courses and batches must be separate things

A course is what you teach. A batch is a group of trainees taking it at a certain time with a certain trainer. The system should keep these separate, so you can define "Web Design, 3 months" once and open ten batches of it. Check that you can copy a batch, change a trainer midway, extend or shorten a batch, and move a trainee from one batch to the next. Check that the system can show you all batches running today.

Fees: instalments and holds

Fee rules vary widely. Ask the vendor to show:

  • A fixed course fee with an instalment plan
  • A discount for early enrolment or a group
  • A registration fee plus a monthly fee
  • An advance payment that covers several instalments
  • A refund or adjustment for withdrawal
  • A warning or hold on certificate printing while dues remain
  • A receipt showing balance and next due date

If your institute is VAT-registered or charges VAT on some services, ask how the tax appears on invoices, and check the treatment with your accountant or the Inland Revenue Department.

Certificates: the part that carries your name

A certificate is your product in the trainee's hand, so check this carefully. Ask whether the vendor can match your current certificate layout, show the trainee name in English and Nepali, include a serial number and date in both calendars, and print directly on your stationery. Ask if a register of certificates is kept automatically, so you can verify a certificate when an employer calls and issue a duplicate on request. Ask whether the person who prints certificates can be restricted to authorised staff.

Trainers, labs and scheduling

If you have limited computers or workshop space, double booking is a daily headache. Ask to see the timetable view: can you see a room for the week, and does the system warn you when a trainer or room is booked twice? Ask how trainer pay is calculated from classes recorded, and whether you can handle both permanent and visiting trainers.

Reports for the owner and for outsiders

Ask for the reports you will use: collection by day, dues by batch, enrolment by course, completion rate, trainer workload, and expenses against income. If you have to report to a funder or an affiliating body, ask for a trainee list with attendance in a format you can export. Do not assume the vendor knows the format; show them an example and ask them to confirm they can produce it.

Support and data

QuestionGood sign
Who trains my staff?Vendor trains the front desk and trainers
How do I reach support?Phone or WhatsApp with a stated response time
Where is data stored and backed up?Clear answer and regular backups
Can I export my data?Yes, in common formats
What if power or internet fails?A plan is described

Consider your online and hybrid batches

Since the last few years, many Nepali institutes run some batches online or mix classroom and online sessions. Ask how the system treats an online batch: can you record attendance, share a class link and keep recorded material with the batch? You do not have to buy a full learning platform, but you should know where the line is. If you plan to sell recorded courses or run quizzes, ask about a separate e-learning tool and whether the two can share trainee records, so that nobody has to type the same person into two systems.

Look at the people who will use it

Watch who actually uses the software in the demo. The front desk will enrol trainees and take payments all day, trainers will take attendance and enter marks, and the owner will read reports. Ask each of them to try their own screens. A system that looks clean to the owner but irritates the front desk will not last. Ask also how many logins the quote includes, whether a trainer can see only their own batches, and what happens when a staff member leaves and their access should end the same day.

Next step

Write your one page summary, choose two courses as test cases and ask for a demo of each. You can see how WebsNP approaches it on our training institute software page. Centres that mainly run tuition and test series should also read about coaching and tuition centre software. Message us on WhatsApp for a demo and written quote.
