Hostel Management Software for Student Hostels and PGs in Nepal
Know which bed is free, who has paid this month, who has visited and what the mess owes without opening three registers.
A hostel owner in Kathmandu, Pokhara or any college town carries a lot in their head: which bed in which room is free from next month, who still owes last month's rent, who is on the meal plan and who left a deposit. When the hostel fills up, that memory becomes the weakest link.
Hostel management software puts every room, bed and resident on one screen. It tracks monthly dues and deposits, meal plans, visitors and complaints. You see occupancy at a glance, send rent reminders to residents or guardians, and close each month with figures you trust.
WebsNP sets up the system around your own hostel, whether it is a small girls' hostel with twelve beds or a larger multi-floor building. Pricing comes after a short demo and a written quote. If you also rent flats or rooms to tenants, see rental property software.
Who Hostel Management Software is for
Student boys and girls hostels
Handle admissions at the start of the academic session, room changes and guardians' contact details.
PG and working-professional accommodation
Track monthly rent, notice periods and deposits for residents who come and go through the year.
School and college hostels
Link residents to their institution, class and warden, with meals and fees in one record.
Hostels with a mess or canteen

Problems it solves
| The problem today | How the software fixes it |
|---|---|
| You are unsure which beds will be free next month. | A room and bed chart shows current occupancy and upcoming vacancies, including notice dates. |
| Rent arrives late and you chase people one by one. | Automatic dues, pending lists and reminder messages go to residents or guardians. |
| Security deposits and adjustments are lost in old notebooks. | Each resident has a deposit ledger showing amounts received, deducted and returned. |
| Visitors come and go with no clear record. | A visitor log records name, resident visited, time in and time out. |
| Meal costs and extra charges are argued about at month end. | Meal plans, skipped meals and extras are recorded and added to the resident bill. |
| Complaints about water, electricity or cleaning are forgotten. | A complaint list with status and a person assigned keeps maintenance on track. |
| Residents leave and you cannot reconstruct what they owed. | A clearance sheet totals dues, deposit and deductions before the resident checks out. |

Built for how Nepal works
Academic session timing
Admissions peak when colleges open after results. The system lets you hold beds, record advance payments and show the BS month for rent.
Guardians stay involved
Parents often pay or ask about dues from their home district. Guardian phone numbers and reminder messages go to the right person.
Mess and cooking arrangements
Many hostels run a mess with Nepali meal plans, tiffin or self-cooking. Meal plans and extras are set up to match yours.
Power and water interruptions
Backup, water and maintenance complaints are logged with dates, which helps when residents ask for fair adjustments.
Tax and registration
Rules about rental income, VAT and registration depend on your situation and can change. Confirm with the Inland Revenue Department or your accountant; the software provides the figures.

Can it handle both a hostel and a mess?
Yes. Rooms and beds are managed separately from meals. You can set meal plans, record daily meal counts or skipped meals and add the charge to each resident's monthly bill.
Can I see which beds are vacant right now?
Yes. The occupancy chart shows every room and bed, who occupies it and which beds will be free soon because a resident has given notice.
Can I track security deposits?
Yes. Each resident has a deposit ledger showing the amount received, any deductions with reasons and the refund at check-out, so end-of-stay discussions rest on records.
Can guardians receive rent reminders?
Yes, where an SMS or WhatsApp channel is configured. You can send the reminder to the resident, the guardian or both, using wording you choose.
Can I add electricity and water charges?
Yes. You can add utility charges per room, split among residents or billed per person according to your own rule, and include them in the monthly bill.
Is there a visitor register?
Yes. Staff record the visitor name, the resident visited, time in and time out. You can search past visits when a question arises.
What does it cost?
The price depends on the number of beds, buildings, users, mess features and customisation. We provide a written quote after a demo so you know what is included.
Can I import my current residents?
Usually yes. If your residents and balances are in Excel or a clear register, we can import them. Handwritten notebooks may need typing first, which we will discuss.
