How to Choose VAT Billing Software in Nepal

Updated 14 Oct 2026 ยท 7 min read ยท WebsNP team

Choose VAT billing software by testing four things with your own data: can it issue a correct invoice quickly, can it correct mistakes without erasing history, can it give you registers by Nepali month, and can you get your data out. If the answer to any of these is unclear in the demo, keep looking. The rest of this guide explains how to test each, and what questions to ask.

Know what you are buying

VAT billing software is narrower than full accounting software. Its job is invoices, credit notes, customer and supplier records, and the VAT registers. Some businesses are happy with that. Others also need stock, ledgers and bank books. Decide which you need first, because a billing tool that must later be joined to a separate accounts package creates double entry. If you expect to grow into accounts, ask whether the billing module and the accounting module share one database.

Test invoice speed and accuracy

Hand the vendor a real list of ten items, including one exempt item and one with a discount. Ask them to produce an invoice. Check:

  • VAT is calculated only on taxable lines at 13%.
  • The total in words matches the figure.
  • The buyer's PAN can be stored and reused.
  • Search for customers and items is quick, in Nepali and English.
  • The print layout matches your letterhead or thermal paper.

Watch how many clicks a repeat customer takes. A counter that handles forty invoices a day will feel every extra step.

Check invoice control

This is where cheap tools fail. Ask to see what happens when you try to delete a printed invoice. A good system refuses, and offers cancellation with a reason. Ask to see a credit note linked to an old invoice. Ask whether numbers continue correctly after a cancellation. Ask whether you can set separate series for branches. Then ask for the audit log: who created, changed or cancelled which document and when.

Look at the registers

Ask for the sales book and purchase book for a sample month. They should show date, invoice or bill number, party name and PAN, taxable value, exempt value and VAT. They should be filterable by Bikram Sambat month and export to Excel. Ask what the VAT summary shows: output VAT, input VAT, and the net. Ask how purchases that are not claimable are kept out. Your consultant will thank you for clean exports. The software prepares data; you or your consultant file the return and confirm rules on ird.gov.np.

Think about the whole workflow

AreaAsk
PurchasesCan I record supplier bills with PAN and attach a scan?
PaymentsCan I track part payment and dues per invoice?
StockDoes selling reduce stock, or is it a separate module?
UsersCan the counter staff issue invoices but not edit prices or cancel?
BranchesCan each branch have its own series and a combined report?
SharingCan I send a PDF invoice over WhatsApp?

Data safety and load-shedding

Ask where the data lives and how it is backed up. A local installation protects you from internet problems but needs an owner who checks backups. An online system gives access from anywhere but depends on connectivity. Either way, ask what happens when power or internet fails during a busy hour, and whether you can keep billing and sync afterwards. Also ask how you export all invoices, parties and items if you ever leave. If the answer is unclear, treat it as a warning.

Think about the people who will use it

The cashier who types fifty invoices a day wants fast search and few clicks. The accountant wants registers and exports. The owner wants a daily sales total on a phone. Sit each of them in front of the demo for ten minutes. Software that pleases only the owner will be worked around by everyone else, and the workaround is where errors start. Also check the screens in the language your staff are comfortable with, and whether item names can be stored in Nepali and English together.

Support and updates

Rules change. Ask how the vendor handles changes in invoice requirements or rates, whether updates are included, and how quickly someone answers a question at month end. A vendor who answers on WhatsApp within working hours is often more useful than one with a long phone menu. Ask for the support terms in writing.

Red flags

  • Claims of government approval without wording you can check on an official site.
  • No way to cancel or credit an invoice properly.
  • Registers that cannot be filtered by Nepali month.
  • Vague answers on data ownership.
  • A quote that does not list what is and is not included.

Next step

Shortlist two vendors, give both the same ten-item test and the same sample month, and compare. You can see how WebsNP handles this on the VAT billing software page, and if you need till-side billing and barcode scanning as well, check POS billing software.
