VAT Invoice Format in Nepal: What an Invoice Should Show
A VAT invoice is more than a bill. It is the document your customer uses to claim input credit and the document you will be asked to produce if your sales records are ever questioned. The details below describe what Nepali VAT invoices normally contain. The Inland Revenue Department sets the formal requirements, so check the current rules at ird.gov.np or with your tax consultant before you finalise a template.
The core fields
A well-formed tax invoice usually carries the following:
- Seller details: registered business name, address, phone and PAN.
- The word "Tax Invoice" or equivalent heading, so it is clear this is not an ordinary receipt.
- Invoice number: unique and in running sequence.
- Date: in Bikram Sambat, often with the English date as well.
- Buyer details: name, address and PAN where the buyer is a registered business.
- Item lines: description, quantity, unit, rate and amount.
- Discounts shown before VAT is calculated.
- Taxable amount, VAT at 13% and grand total, with the total in words.
- Signature or authorised stamp where your practice requires it.
Show the VAT separately
The VAT must be visible as its own figure, not hidden inside a price. If you quote tax-inclusive prices to walk-in customers, the invoice still needs to break the total into taxable value and VAT. A calculation like this is simple but easy to get wrong by hand when there are discounts and mixed items:
- Add up item amounts to get the subtotal.
- Subtract discounts that apply to the sale.
- Separate taxable lines from exempt lines.
- Calculate 13% on the taxable total only.
- Add VAT to get the grand total, and round in a consistent way.
Choose a rounding rule, apply it everywhere and make sure the invoice, the sales book and the ledger all use the same one. Mixed rounding is a quiet source of paisa-level differences that waste hours at month end.
Numbering that survives questions
Use a single running series for each fiscal year, restarting in Shrawan. If you have several counters or branches, give each its own prefix so numbers never collide. Do not reuse a number. If an invoice is wrong, cancel it, keep the original in the file marked cancelled, and issue a fresh one with the next number. Gaps with no explanation look worse than a visible cancellation.
Corrections: credit and debit notes
When a customer returns goods or you gave a wrong price, do not alter the old invoice. Issue a credit note (reducing the sale) or a debit note (increasing it) that refers to the original invoice number and date, shows the adjustment and its VAT, and is recorded in the sales book. This keeps both your records and your customer's records consistent. Your tax consultant can tell you how to treat adjustments that cross a filing period.
Language, format and delivery
Many Nepali businesses print invoices in English with Nepali item names, or fully in Nepali. Either is fine as long as the required details are clear. Keep a duplicate for your records, and consider sending customers a PDF copy over WhatsApp or email. A PDF copy saves reprints and gives the buyer an easy file to keep for their own VAT claim.
Special cases to ask about
Some sales do not fit the ordinary pattern, and it is worth deciding how you will record them before they happen. Advance payments received before delivery, sales to customers abroad, supplies to other registered businesses on long credit, free samples and goods used inside the business can each have their own VAT treatment. The right treatment depends on the law and your facts, so raise them with your consultant once, write down the answer and set up your item master and invoice types accordingly. A one-page note on special cases, kept next to the billing computer, saves repeated debates.
Also decide how you will deal with price changes mid-month and with discounts given after the invoice was printed. A post-sale discount is a correction and should be recorded as a credit note, not a quiet change in the cash received.
Common invoice mistakes
| Mistake | Why it matters |
|---|---|
| Missing buyer PAN for a registered buyer | The buyer may not be able to claim credit |
| VAT included in price but not shown | Records cannot be reconciled to the return |
| Skipped or duplicate numbers | Raises questions in any review |
| Overwriting after printing | No trail of what was originally issued |
| Exempt and taxable goods in one total | VAT base is wrong |
| Wrong date format or Nepali month | Sale falls into the wrong return period |
How software prevents these
With VAT billing software the item master carries the VAT treatment, the number is assigned automatically, VAT is calculated by the system and the invoice cannot be deleted, only cancelled with a reason. The sales book is then a report, not a separate job. That does not remove your duty to confirm current requirements with IRD, but it removes the arithmetic and numbering errors that cause most trouble.
Next step
Take one of your recent invoices and tick it against the field list above. If more than two items are missing or done by hand, it is worth looking at a proper template. See the WebsNP VAT billing software or, if you also need full books, accounting software. Send a photo of your invoice on WhatsApp at +977 9846280400 and we will show you the same invoice in the software.
