VAT Billing Software for Nepali Shops and Companies
Issue clean 13% VAT invoices and credit notes, and get sales and purchase books ready for your monthly VAT return without retyping.
A VAT-registered business in Nepal does the same job hundreds of times a month: write an invoice, add 13% VAT, record the sale, and later reconcile it against the purchase bills to see what is payable. Done by hand, every step is a chance for a wrong total, a skipped invoice number or a missing PAN. VAT billing software does the arithmetic and the bookkeeping once, from a single entry.
WebsNP builds VAT billing around the records a Nepali business needs to keep: tax invoices with a running number, buyer PAN where applicable, taxable and exempt lines kept apart, credit and debit notes linked to the original invoice, and sales and purchase books that match the invoices exactly.
The software is set up for your products, your counters and your staff, and it produces data your accountant or tax consultant can use for the monthly return. Rules and thresholds are set by the Inland Revenue Department, so we configure to your situation and you confirm current requirements at ird.gov.np.
Who VAT Billing Software is for
VAT-registered shops and traders
Retail and wholesale businesses that issue many invoices a day and need accurate VAT on every one.
Service providers
Agencies, consultants, clinics and training centres that bill clients with VAT and sometimes TDS.
Manufacturers and suppliers
Businesses selling to other VAT-registered buyers who need valid invoices to claim credit.
Businesses crossing the VAT threshold
Owners preparing to register who want billing in place before the first return is due.
Accountants and tax consultants
Professionals who prepare VAT returns for clients and want consistent, exportable registers.
Problems it solves
| The problem today | How the software fixes it |
|---|---|
| VAT is calculated by hand and totals sometimes disagree. | VAT is computed on each invoice line at 13% or marked exempt, and the invoice total always equals the sum of its lines. |
| Invoice numbers skip, repeat or get cancelled without trace. | Numbers run in sequence per series, and cancelled invoices stay in the record marked as cancelled with the user and time. |
| Customer returns are handled by crossing out old bills. | Credit notes are issued against the original invoice, reversing the VAT in the sales book properly. |
| The monthly return takes days to assemble. | Sales and purchase books are generated from the entries by Nepali month, and export to Excel for your consultant. |
| Purchase bills arrive without PAN or the right business name. | The purchase entry screen asks for supplier PAN and flags missing details before the bill is posted. |
| Taxable and exempt goods are mixed in one total. | Each item carries its own VAT treatment, so invoices and registers separate them automatically. |

Does the software calculate 13% VAT automatically?
Yes. Each item carries its VAT treatment, and the invoice calculates VAT on taxable lines at the standard 13% rate. Exempt items can be marked so they are shown separately in the registers.
Can it produce the sales and purchase book?
Yes. Both books are generated from your invoices and purchase entries, filtered by Nepali month and exportable to Excel and PDF, so your accountant can use them for the return.
Does it file the VAT return for me?
No. It prepares the registers and totals you need. Filing is done by you or your consultant through the official process. Please check current filing steps and deadlines with the Inland Revenue Department.
How are returns and cancellations handled?
Returns are recorded as credit notes linked to the original invoice. Cancelled invoices are kept in the record marked as cancelled, with user and time, rather than deleted.
Can I print on thermal paper or A4?
Yes. We configure A4 invoices and thermal receipt layouts for common printers, and set up invoice copies as PDF for sharing over WhatsApp or email.
Can I use it with more than one branch?
Yes. Branches or counters can have separate invoice series and users, while the owner sees combined sales and VAT reports. We confirm the exact set-up after the demo.
Is it only for VAT-registered businesses?
It is designed for VAT invoicing, but it can also issue ordinary bills for businesses that are not registered, and make switching simple when you cross the threshold and register.
What does it cost?
The price depends on users, branches and extras such as stock, so we quote after a demo. WhatsApp +977 9846280400 with your business type and approximate invoices per day to get started.
