Wholesale and Distribution Software ยท Guide
Wholesale Distributor Mistakes and Month-End Checklist
The same mistakes show up in distribution businesses of every size: credit given blindly, schemes misapplied, returns unrecorded and salesmen settled from memory. None need clever software to fix, but all are far easier to prevent when the steps are written down and recorded. This article lists the usual errors, then a month-end checklist and a short generic walkthrough.
Ten mistakes to look for
- One credit limit for everyone. A single rule ignores differences between a long-standing dealer and a new one.
- Billing before checking the balance. The old dues are discovered after the new goods have left.
- Verbal scheme promises. Salesmen promise terms the invoice does not reflect.
- Returns taken back informally. The goods return, the credit note does not.
- Cheques kept in a drawer. Dates pass without deposit.
- Loose van loading. Nobody can say exactly what left the godown.
- Collections mixed with sales. A salesman holds cash for days.
- Dealer statements sent rarely. Disagreements accumulate.
- No review of dormant dealers. Lost customers are noticed a year later.
- Ignoring principal claims. Scheme claims are filed late or with missing documents and are rejected.
Daily checklist
- All orders from the field are in the system or on the register by evening.
- Every invoice has passed a credit and stock check.
- Every van trip has a loading list and a settlement.
- All cash and cheques received are recorded with receipt numbers.
- Returns have a note and a reason.
Month-end checklist
| Task | Why |
|---|---|
| Send statements to all dealers with a balance | Differences are found while they are small |
| Review the ageing report and assign follow-ups | Overdue amounts get an owner |
| Reconcile the cheque register with the bank | Cleared and bounced cheques are certain |
| Check returns against credit notes | No goods without a credit entry |
| Prepare scheme claims for principals | Claims filed on time with documents |
| Count fast-moving stock in each godown | Errors found before they grow |
| Review salesman targets and collections | Plan next month with facts |
| Hand VAT and sales registers to the accountant | Filing goes smoothly; confirm dates with the IRD or your accountant |
A short generic walkthrough
Imagine a distributor with three salesmen and about two hundred dealers. At month end the owner runs the ageing report and sees that one route holds a large share of the overdue balance. Looking closer, most of it belongs to a handful of dealers whose limits were set years ago and never reviewed. The salesman for that route has been booking orders and moving on without checking dues, because the old system did not tell him.
The owner changes three things. Limits are reviewed for those dealers. The order screen now shows the overdue balance before the order is accepted. And the salesman's target now includes collection, not only sales. Next month the overdue share on that route falls and the dealers receive a statement on WhatsApp after each collection visit. The numbers here are illustrative; the method is what matters.
Train the salesmen too
Many distribution problems begin in the field. Salesmen are paid on sales, so they have little reason to care about credit unless their targets include collection. Hold a short monthly meeting where each salesman reviews his route: the dealers with overdue balances, the dealers who stopped ordering, the returns and the promises made. Share the numbers openly. Recognise good collection as well as good sales. Where salesmen use a phone or tablet for orders, a one-hour practice session on real dealers prevents mistakes later.
Finally, keep one person responsible for master data: dealer details, credit limits, price lists and scheme rules. When many people can edit these, errors spread quickly. A single owner, with a log of changes, keeps the base clean and makes every report more trustworthy.
Fix it with simple rules
- No invoice without a credit check.
- No scheme outside the written rule.
- No return without a credit note and a reason.
- No van leaves without a loading list.
- No cheque without an entry in the register.
The WebsNP wholesale software is configured to make these rules the easy path. If your sales are mostly over the counter instead, see hardware shop software.
