Distributor Software Cost and Return: Manual vs System
Distribution margins are thin, so small leaks matter. A scheme given twice, a return not credited, a bounced cheque forgotten or a dealer pushed far beyond credit can cost more than a year of software. This article shows where money leaks in a manually run business and what drives the price of a system. We give no prices here; a written quote follows a demo.
Where a manual distributor loses money
- Bad debt. Credit given without checking the old balance, then chased for months.
- Scheme leakage. Free goods or discounts applied when the condition was not met, or not claimed from the principal when due.
- Returns without records. Goods come back, are restocked without a note and never credited properly.
- Cheque losses. Cheques deposited late, lost or bounced without follow-up.
- Stock differences. Van loads, godown counts and invoices that do not agree.
- Staff time. Hours of re-typing orders, preparing statements and reconciling salesmen.
- Missed repeat orders. Dealers who stopped ordering without anyone noticing.
Measure your own leakage
Take one recent month and ask five questions using your own books:
- What amount is overdue beyond agreed credit days, and how much of it is older than ninety days?
- How many scheme claims to principals were delayed or rejected for missing documents?
- What was the value of returns without a matching credit note?
- How many cheques bounced or were deposited late?
- How many hours did staff spend on month-end reconciliation?
Even rough answers will show whether the problem is large. The figures belong to your business, so any average we quoted would be meaningless.
What a system changes
| Area | Manual | With software |
|---|---|---|
| Credit check | Memory or asking the accountant | Automatic at order time |
| Schemes | Circular and calculator | Rule applied on the invoice |
| Cheques | Drawer and diary | Register with due list |
| Dealer statement | Hours at month end | Generated on demand |
| Salesman settlement | Argued from slips | Reconciled by invoice |
| Dormant dealers | Noticed late | Report of dealers with no recent order |
What drives the software price
- Number of users and godowns.
- Number of salesmen and whether they need mobile order booking.
- Modules chosen: schemes, cheque register, delivery and van settlement, targets and claims.
- Data to import, such as items, dealers and opening balances, and how clean it is.
- Hardware: computers, printers, barcode scanners and backup device.
- Custom bill layouts, extra reports or special scheme logic.
- Hosting choice and ongoing support.
Ask for set-up and recurring charges to be listed separately, and ask what happens to your data if you end the arrangement.
A fair way to judge the return
Do not expect software to raise sales by itself. Look for outcomes you can measure: overdue balances falling as a share of sales, fewer scheme disputes, fewer unexplained stock differences, a faster month-end close and fewer dormant dealers. Compare three months before and after. If you cannot measure the difference, the money is better spent elsewhere.
Seasonal cash flow
Nepali distribution has a strong seasonal pattern. Sales swell before Dashain and Tihar, when you extend more credit and buy more stock, and collections come after the festival, sometimes slowly. Agriculture-linked areas have their own cycle tied to harvest and remittance. A system that shows the same period last year, by route and brand, helps you plan buying and credit. It also shows when a dealer who always pays after the harvest is simply following the cycle rather than defaulting.
Plan cash with that in mind. Estimate how much credit you will give, when it falls due and what you owe principals in the same weeks. Many distributors are surprised not by low sales but by a gap between paying suppliers and collecting from dealers. Good reports reveal that gap before it arrives.
The hidden cost of change
Switching systems takes effort. Opening dealer balances must be verified one by one against the dealer's own record. Staff must learn new screens, and salesmen must change habits. Plan for a few weeks of double checking. Make one person responsible for data quality, and agree a date after which the old register stops being updated. Without that date, you carry two systems forever.
When it is not yet worth it
If you have a few dozen dealers, one salesman and a single godown, a careful ledger and a spreadsheet can serve. The case becomes strong once you have several salesmen, a few hundred dealers, schemes from more than one principal or credit that you can no longer see in your head.
